Creative Project Manager

The Instacart Design Team is dedicated to making grocery shopping effortless for everyone and finding solutions to large-scale challenges that will forever change the way people feed themselves and their loved ones.
ABOUT THE JOB
Instacart is looking for a Creative Project Manager to join our Design Operations team to support the Creative Team. The ideal candidate is an exceptionally organized, strong communicator, with experience planning and overseeing large production teams to help drive performance to meet strategic goals & objectives.
You are skilled at working cross-functionally to manage multiple projects, while collaborating with other teams to help produce high quality deliverables. You will partner closely with Design Leaders, Managers, and Designers to identify scope for projects, build production plans, track progress, and communicate production status. You love a challenge, welcome change, and value growth.
Project Managers are the owners of campaign and project productivity, who promote execution and alignment through effective communication, quick problem solving, and collaboration.
Stakeholder management
- Lead cross-functional production planning and execution for strategic initiatives and campaign projects
- Manage and facilitate communication across all cross-functional teams (engineering, product, marketing channels, business development, storefront)
- Navigate shifting priorities with flexibility, and comfortable with ambiguity
- Be responsible for drafting and sending all communications—set and maintain a communication cadence to keep all stakeholders updated on progress
- Facilitate multiple production scope definitions within a strategic initiative or campaign, in partnership with Managers, Design Leads, and Designers
- Manage multiple projects simultaneously, and embracing hands-on collaboration
- Hold all team members accountable for deliverables (cross-functional and core teams)
Tracking & Project Management
- Help receive and organize incoming design requests and creative briefs from teams throughout the company
- Create job numbers and project timelines within our PM tool and a project deck in G-Suite, to drive execution and communication across the organization
- Organize and track production activities and statuses, ensuring on-time delivery and multiple production hand-offs within a strategic initiative or campaign
- Ensure the project tracker is up to date with the milestone status and key launch-related documents during syncs with project Stakeholders, Manager, Creative Director, and Designers
- Communicate project statuses and updates during weekly team meetings
- Capture key issues, decisions, and mitigate production risks across multiple production timelines
- If necessary, bid, hire, and manage external production partners for projects
- Ensure the delivery of high-quality assets, making sure reviews/sign-offs are in place
- Archive and deliver final assets
- Partner with Program Managers to improve Design Ops infrastructure and processes

- Confidently able to evaluate requests, prioritize scope, and coordinate efforts across multiple teams in a fast-paced environment
- A strong understanding of project management and design/creative production processes, demonstrated through brand and marketing
- Demonstrated use of production management techniques and tools to scope and track projects
- Experience implementing or managing digital asset management tools
- Your passion, positivity, attention to detail, and impeccable project management skills will help the Creative Team build and maintain trusted relationships with cross-functional stakeholders to create best-in-class design
Qualifications
- 5+ years proven ability in Brand Marketing Design Project/Program management
- Experience working in a large, complex, fast-paced organization
- Proficiency in G Suite products (Gmail, Google Calendar, Google Slides, Google Sheets, etc.)
- Proficiency in Atlassian Confluence and Slack
- Proficiency in Wrike or a similar project management tool
- Exceptional communication skills, written and verbal
- Proven creative project management experience, managing the entire life cycle of projects both internally and externally
