YOUR MISSION

Design Operations serves as Mission Control for the Product Design (PD) team, enabling designers to design and leaders to lead. Your role as Design Operations Coordinator makes this a reality. 

In this role, you'll report to the head of Design Ops. Your responsibilities will vary, depending on the needs of the rapidly growing team. This is an opportunity to show what you're capable of while helping scale the Design Ops function and the larger PD team. Some of what you'll do day-to-day:

  • Help ensure a consistent and welcoming onboarding experience for new PD team members by ensuring that they're up with their tools and access.
  • Collaborate with the head of Design Ops on programming for the design org's weekly all-hands meeting.
  • Coordinate and help plan meetings, retreats, workshops and internal conferences, and maintain the business cadence calendar.
  • Maintain, update and communicate about all quarterly status murals for designers and design leadership team. 
  • Handle contracts and manage vendor on- and offboarding.
  • Serve as point of contact for PD on the company newsletter; help gather and disseminate team success stories and be an evangelist for design thinking.
  • Build relationships with PD team members and leaders, listening to and understanding the needs of a rapidly growing team that has to scale everything fast; help enable Design Ops to be proactive in supporting the team, anticipating needs as well as addressing new ones quickly and effectively.
  • Build partnerships with Product Ops, Engineering Ops, IT, People Ops, and other stakeholders and organizations.
  • Constantly look for ways to improve our processes (and product) and make others successful.

YOUR PROFILE

The top candidate will be a quick study who brings a passion for delivering extraordinary customer service (your customers are internal), a can-do attitude and a talent for creative problem solving, plus:

  • 1+ year(s) of experience in an administrative, coordinator or support role at a tech company (bonus points if you've worked with a design or UX team)
  • Understanding of, or interest in, design thinking and design-related processes
  • Experience working with cross-functional teams
  • Understanding of, or interest in learning, tools used in project management, product design and pillar team work (e.g., Asana, Figma, Jira, etc.)
  • Outstanding oral and written English communication skills; understanding of digital body language and best practices
  • Proven success working with globally distributed teams in a remote-first environment
  • Passion for detail, documentation, process, and getting your ducks in a row — balanced by empathy, adaptability, and a sense of humor
