What You Will Do:

  • Calendar & Schedule Management: Efficiently manage multiple complex calendars, prioritize commitments, and schedule meetings across multiple time zones.
  • Meeting Coordination: Organize and prepare meetings with appropriate attention to detail and confidentiality , including agenda creation, note-taking, and follow-ups.
  • Travel & Expense Management: Arrange domestic and international travel and process expense reports in a timely manner.
  • Communication & Correspondence: Act as a gatekeeper, manage internal and external communications, and draft emails on behalf of executives.
  • Project Management: Assist in the execution of key projects, track deadlines, and ensure follow-ups are completed.
  • Event Planning: Coordinate team offsites, celebrations, team-events, company-wide events, and executive engagements.
  • Process Improvement: Identify and implement efficiency improvements in administrative processes.

 About You:

  • 5+ years of experience supporting senior executives, preferably in a fast-paced startup or tech environment.
  • Exceptional organizational and time management skills with the ability to multitask and prioritize shifting responsibilities.
  • Strong attention to detail and a proactive, problem-solving mindset.
  • Must possess a team player mentality, able to work collaboratively with the EA team as well as independently under minimal supervision.
  • Proficiency in G Suite, Slack, Zoom, Notion, and project management tools.
  • Exceptional responsiveness and sense of urgency—you take pride in fast response times and have a bias toward action.
  • A strong sense of ownership and a can-do attitude, with the ability to anticipate needs before they arise.
  • Experience supporting multiple executives is a plus.
  • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
  • Must be able to work in a hybrid setting—preference for candidates living in or near San Francisco to be onsite as needed.

 Bonus If You:

The ideal candidate thrives in a fast-paced environment, demonstrating resilience, adaptability, and a solutions-oriented mindset. You possess a strong work ethic with a "no task too small" attitude, balancing hands-on work with professionalism and discretion. You're personable, eager to learn, and think creatively to anticipate needs and solve challenges. With zero ego, you excel at providing seamless, white-glove service while remaining ready to roll up your sleeves to ensure operational excellence.

Benefits:

  • Competitive compensation package, including equity.
  • Inclusive Healthcare Package.
  • Learn and Grow - we provide mentorship and send you to events that help you build your network and skills.
  • Flexible Time Off.
  • We will provide you the gear you need to do your role, and a WFH budget for you to outfit your space as needed.
