Position Overview:

The Business Operations Specialist is a critical member of our growing Company responsible for providing best-in industry support for order processing to our customers and sales team. The Business Operations Specialist will have several responsibilities that will include reviewing contracts, generating and processing sales orders, reviewing pricing, and handling customer order related inquiries. Contract administration for two entities, NetBase Solutions, Inc and Quid, LLC. Provisioning product, data and trials as well as participation in company integration. The Business Operations Specialist has a high sense of ownership and engages across several internal functions with management and the sales field. This position is also actively involved in the Company’s month and year end booking, Invoicing backlog reports, and closing processes. 

Principal Duties and Responsibilities (Essential Functions**):

  • Order Fulfillment
    • Accurately generates and processes sales orders on a timely basis, working closely with sales team, management, customers and partners.
    • Reviews and ensures approvals are in place for all orders before entering information into applicable systems, ensuring that documents are in compliance with established internal guidelines.
    • Work with the legal department on negotiated contracts terms of use for both NetBase and Quid, and ensuring our companies are in compliance with third parties.
    • Prepare and maintain summary of significant contract terms including renewal dates, and management of contracts/amendments.
    • Ensures accurate information, pricing and other requirements in accordance with discounting, gross margin limits and revenue recognition guidelines.
    • Review customer contracts with Corporate Controller/CFO for revenue recognition reporting for contracts with special requirements.
    • Responsible for customer communication regarding contract questions, foreign documents and other related issues.
    • Tracks orders through entire order entry process, ensuring orders are fulfilled when purchased, and service is terminated when customer discontinues payment of service.
    • Works with Account Management and Customer Success on initiating and ending access to SaaS subscription accounts.
    • Responsible for maintaining customer contract files, for all NetBase and Quid contracts for central access, legal and audit purposes.
    • Proactively seeks to improve new processes, product knowledge and business practices.
    • Works in applicable systems to ensure data integrity between all systems.
    • Provisioning customer – contracts, data and trial requests.
    • Assists in developing procedures, improving systems, and other activities that help build operational capabilities and improve the customer experience to extend our competitive advantage.
    • Assist Revenue Manager with monthly revenue analysis if necessary.

Qualifications & Skills:

  • Bachelors of Science (BS) degree in accounting or business related.
  • Minimum 3-4 years related experience.
  • Self-motivated with a strong work ethic and works independently with high standards for quality.
  • Excellent interpersonal and communication skills, both spoken and written with a customer service focus.
  • Must be a quick learner, highly organized with good analytical skills and a keen eye for detail.
  • Ability to multi-task in a fast-paced environment, work independently, and excel with minimal supervision
  • Ability to prioritize effectively and manage deadlines in a high-pressure environment.
  • Team player who can effectively work with external customers, as well cross-functionally throughout the organization in order to align goals and objectives.
  • Proficient in Microsoft Office, with a heavy emphasis on Excel reports and pivot tables.
