We are seeking a full ­time Executive Assistant to provide administrative and operational support for our Chief People Officer (CPO) and Talent & Organization (TAO) leadership team. You will be the glue that holds everything together and enable the team to perform at their best. From calendaring and travel coordination to meeting management and event logistics, you’ll be the first point of contact for our TAO Team. The ideal candidate will be highly organized, strategic and accountable; able to juggle multiple priorities with calm and grace. You should be detail­ oriented and enjoy working with a highly motivated team in a fun, collegial, fast ­paced environment. The Executive Assistant will be a critical player as we build a best-in-class HR function. 

Key Responsibilities:

  • Manage and own the calendar and scheduling of CPO based on keen understanding of executive priorities and objectives. This includes effective coordination of all travel arrangements. 
  • Act as a sounding board, confidant and conduit to keep the CPO well informed and help facilitate their decision making and keep to timelines. 
  • Prepare reports, meeting agendas, and presentations for executive level meetings.
  • Participate actively in the support of various TAO projects, coordinating and facilitating various team meetings and communicating directly with all responsible parties.
  • Coordinate meetings and special events such as department on-site and off-sites meetings and team development activities on behalf of the team.
  • Collaborate closely with department leads to support company-wide event logistics and coordination.
  • Create processes and tracking mechanisms to support budget management, annual planning and quarterly reviews.
  • Proactively manage and reconcile executive expense reports via appropriate process and procedures as well as guide others in the process. 
  • Assist and support the TAO Team with budgets, invoicing, purchase orders and in the resolution of AP or AR issues with TAO vendors and contractors.
  • Maintain efficient follow of information between all organizational levels including internal and external stakeholders on a wide spectrum of plans and priorities. 
  • Collaborate and coordinate across the organization, creating efficiency across the administrative peer group, as well as providing back-up support for other executive assistants with the team. 

Qualifications:

  • 5+ years professional experience as an executive assistant with experience supporting the C-Suite.
  • Ability to work from the San Francisco headquarters when needed.
  • Demonstrated ability to take initiative to own projects from start to finish.
  • History of being able to deliver results in a timely and professional manner.
  • Exhibits composure and professionalism in a fast-paced environment.
  • Demonstrates strong organizational skills.
  • Strong technical proficiency, including expert knowledge of Google Suite and Microsoft Office Tools (Word, Excel, Powerpoint). Comfortable using MAC Workday experience preferred.
  • Excellent multi-tasking skills with an ability to prioritize tasks and work within deadlines with little supervision.
  • Team player with a positive attitude, high emotional IQ, sense of humor and a passion for what you do.
  • Ability to take initiative and exercise good judgment, discretion, and confidentiality in all tasks.
  • Excellent verbal and written communication skills.
