What you’ll do

We are seeking a highly organized and detail-oriented Office Coordinator. In this role, you will ensure the smooth running of our NY - Union Square office. The individual must be comfortable working in a fast-paced environment.

This is a part-time 20 hour contract position reporting to the Americas Workplace Experience Partner and must be in office 4 days a week. This position must be onsite Monday-Thursday from 9am - 3pm. Hours may vary depending on needs, but any deviations to regularly scheduled hours will be communicated at least a week in advance. 

Responsibilities:
  • Office Management: Oversee daily office operations, including office supply inventory, equipment maintenance, and overall cleanliness. Ensuring Airwallex property is secure and sensitive information is appropriately protected.  Provide essential office management services ensuring a seamless experience for employees.

  • Oversee the front desk operations of a corporate office, managing the entry and exit of staff, visitors, and deliveries. 

  • Greet and assist visitors and announce their arrival to the appropriate parties. 

  • Assist with coordinating vendor and building services for maintenance, service repairs, and cleaning requests as needed. 

  • Coordinate with the Industrious team with issuing and managing membership and building access, ensuring access is granted or revoked as needed.

  • Assist with administrative tasks to support the Workplace Experience Partner.

  • Identify creative opportunities to foster employee team-building, volunteering, and cultural celebration - and work with a limited budget to bring these ideas to fruition. This will include planning, coordinating, and setting up.

Minimum qualifications:
  • Excellent verbal and written communication skills with a strong command of English. 

  • Strong interpersonal skills with the ability and willingness to take initiative. 

  • Ability to multi-task, prioritize, and adapt in a fast-paced environment. 

  • Detail-oriented with strong time management and organizational skills. 

  • Ability to work independently and proactively with minimal supervision. 

  • Proficiency with using a Mac, Slack and Google systems like Gmail, Gcal, Google Docs & Sheets.
