We are looking for a detail-oriented, student-centered, customer-facing professional to support the external and internal delivery of our online educational programs and ensure a seamless student experience.

Pathstream is looking for an Enrollment Operations Specialist to be both external-facing and highly collaborative within our internal team as we deliver our online courses directly to students. This is a role that blends an enrollment advisor and registrar position into one, ensuring that the student experience is seamless from beginning to end. It requires both a service-oriented mindset as you respond to student questions via email and phone, and operational aptitude as you carefully manage the detailed enrollment setup process.

This role is critical to the success of our programs and the overall experience of our students. A successful Enrollment Operations Specialist has a keen sense of what students from all ages and backgrounds need in their learning journey, a professional and empathetic demeanor when interacting with others, a calm and solution-oriented attitude when troubleshooting issues, and acute attention to detail and superb organization skills. This is an exciting opportunity to contribute to the systems and procedures that will help us scale the reach of our online courses.

This is a full-time position that reports to the Director of Operations, Program Delivery. This position can be remote or based at Pathstream’s headquarters in downtown San Francisco, CA once it is safe to return to in-person work.

THE ROLE

  • Manage the operational processes to properly enroll students in our courses through our LMS and the Pathstream online learning platform, including managing course sections, classlists, and student records
  • Follow standard operating procedures related to data entry and documentation; evaluate current systems and help streamline processes
  • Assist with general program administration and instruction; create student-facing documents, draft communications, and coordinate online events, as needed
  • Advise students during the enrollment and purchase process, support students as they manage their course work, and  process extension requests as needed
  • Respond to customer support tickets related to enrollment, registration, and course completion; enforce Pathstream’s academic and payment policies
  • Collect, track, and report on enrollment data from purchase through program completion

  • Student-centric and service-oriented mindset: You are an active listener and lead with empathy as you seek to learn the root cause of an issue and coordinate resolution; you seek to understand a customer’s needs and desires before giving advice and providing guidance
  • Strong written and verbal communication: You can interact with a variety of people (students and parents) in a manner that is professional, personable, patient, and precise whether via email or over the phone
  • Strong technical ability: Your comfort with LMSs, CRMs, spreadsheets, and databases allows you to manage the tools and automate the processes that allow us to scale
  • Data savvy: You are able to see patterns, spot anomalies, and make inferences
  • Attributes:

    • Fast learner who can retain a lot of information
    • Strong sense of ownership - you can work independently with minimal supervision
    • Solution-oriented - you seek to offer solutions and improvements freely
  • Nice to have:
    • Prior experience in a startup and/or education/edtech environment
    • Prior experience using D2L’s Brightspace LMS
    • Basic data analysis skills
