About the role

Our Exec Support team strives to keep things running smoothly, anticipate needs, and clear the path for our leaders and teams to do their best work. We're looking for an experienced and highly motivated Executive Assistant to support our Chief Data Officer and Chief Financial Officer. The ideal candidate has prior experience in a similar role, is adept at navigating a fast-paced environment, and is passionate about making an impact in this role. 

As Executive Assistant to CDO and CFO, you will:

  • Act as gatekeeper, time-advocate, and liaison for your leaders 
  • Organize and maintain high-volume calendars, creating efficiency and balance in daily/weekly/monthly schedules
  • Handle internal and external requests for time, utilizing strong judgment in prioritization and flexibility to meet scheduling changes and shifting priorities
  • Anticipate needs, problem-solve for challenges, and manage emerging issues in a proactive manner
  • Coordinate heavy and complex international travel including all associated logistics
  • Create and maintain a tracking system and communication for external contacts 
  • Be a collaborative and reliable cross-functional partner 
  • Assist with creating presentation materials and resources 
  • Complete monthly expense reports and other administrative tasks 
  • Plan and coordinate various team events including (remote) offsites 
  • Champion and build team culture by tracking, celebrating, and highlighting important team and employee milestones 
  • Contribute to initiatives and projects in addition to your core role 

Qualifications

  • Bachelor's degree and a minimum of 4 years of experience as an executive assistant or similar role involving high-level support
  • Ability to maintain confidentiality and discretion
  • Superior knowledge of and experience with G Suite and Microsoft Office
  • Ability to use emerging technology and tools
  • Excellent verbal and written communication skills
  • Incredible organizational skills; must be detail-oriented
  • Timely and consistent responsiveness 
  • Outstanding ability to prioritize and multitask
  • Ability to work in a fast-paced environment with shifting priorities
  • Availability to perform job duties outside of normal office hours when necessary
  • A true sense of ownership and are passionate about results
  • You are a team player and able to coordinate with senior leaders
  • You have a great sense of humor - even when meeting tough deadlines
  • You are a creative problem-solver
