About the role

Our Exec Support Team strives to keep things running smoothly, anticipate needs, and clear the path for our leaders and teams to do their best work. We're looking for an experienced and highly motivated Executive Assistant to support our Head of Design and Head of Product. The ideal candidate has prior experience in a similar role, is adept at navigating a fast-paced environment, and is passionate about making an impact. 

As Executive Assistant to the Head of Design and Head of Product, you will:

  • Act as gatekeeper, time advocate, and liaison for your leaders 
  • Handle internal and external requests for time, utilizing strong judgment in prioritization and flexibility to meet scheduling changes and shifting priorities
  • Organize and maintain high-volume calendars, creating efficiency and balance in daily/weekly/monthly schedules
  • Manage relationships with external advisors and points of contact
  • Provide strategic input to improve upon existing operating systems 
  • Own components of Product operations including weekly meeting content, presentation materials, and the rollout of internal processes 
  • Help draft internal communications 
  • Create content for social media posts and Design news
  • Help with thought pieces on design topics
  • Assist with recruiting efforts
  • Complete monthly expense reports and other administrative tasks 
  • Anticipate needs, problem-solve, and manage emerging issues proactively
  • Be a collaborative and reliable cross-functional partner 
  • Plan and coordinate team events including quarterly offsites and social activities
  • Champion and build team culture by tracking, celebrating, and highlighting important team and employee milestones 
  • Contribute to initiatives and projects in addition to your core role 

Qualifications:

  • Bachelor's degree and minimum 2+ years of experience in an Executive Assistant role, minimum of 4+ years of experience total

     

     

  • Ability to maintain confidentiality and discretion
  • Superior knowledge of and experience with G Suite and Microsoft Office
  • Ability to use emerging technology and tools
  • Excellent verbal and written communication skills
  • Incredible organizational skills; must be detail-oriented
  • Timely and consistent responsiveness 
  • Outstanding ability to prioritize and multitask
  • Ability to work in a fast-paced environment with shifting priorities
  • Availability to perform job duties outside of normal office hours when necessary
  • A true sense of ownership and are passionate about results
  • You are a team player and able to coordinate with senior leaders
  • You have a great sense of humor - even when meeting tough deadlines
  • You are a creative problem-solver 

A bonus if you have: 

  • Program management experience
  • Product management and operations experience 
  • A design background or experience working within a design organization
