Job Description
The world of work is one of the most pressing issues that business leaders face today and, as the defining enterprise platform of the 21st century, ServiceNow is poised to be the platform of choice to tackle this critical imperative. But we will not do it without a robust partner ecosystem and partnerships and that's exactly where this role comes into play. The Personal Assistant will join our Tech Partnerships team and the Alliance & Channel Ecosystem (ACE) team who is at the forefront of driving ServiceNow's growth to $15B and beyond.
The Junior Personal Assistant is an exciting role and is central to how we connect and expand internally and with our key tech partnerships. The individual should have a track record of demonstrated cross functional collaboration in a high-profile software/services organization or large consulting firm.
Primary Focus:• Provide calendar & meeting management, coordinate internal and external meetings including staff meetings, executive briefings, all hands meetings, QBR's and off-site meeting and events• Provide administrative support to the VP, Tech Partnerships and her leadership team• Draft and prepare routine and advanced correspondence including emails, presentations and reports• Review outgoing correspondence for accuracy, format consistency, signatures and conformance with executive procedures• Assist leadership and organizations by optimizing usage of time. Make decisions regarding short-term priorities and work activities• Provide agendas, resumes and appropriate materials in a timely manner ahead of meetings and interviews• Apply discipline and rigor around meetings and ensuring agendas and clarifying context and purpose with senior leaders you support as well as participants• Handle all travel (flight, hotel, car) arrangements for domestic and international travel• Identify issues within the organization and initiate or facilitate solutions
Other responsibilities• Assist department with the setup of new hires, account reporting, call set-up support.• Light program management.• Compile, prepare and process Leadership expenses and credit card reconciliation where needed• Assist with food orders, meeting needs, agenda support and note taking• Proactively manage calendar requests and conflicts• Provide agendas, resumes and appropriate materials in a timely manner ahead of meetings and interviews
Qualifications
• 4+ years experience in prior administration or executive assistant role• Proactive, one step ahead work ethic, attitude, and approach• Able to multi-task and juggle multiple calendars, teams and requests• Ability to drive schedules and agendas with deeper understanding of context• Highly organized with great communication skills and ability to manage a variety of high priority projects from multiple management and professional levels• Desire to grow and take on your own projects• Professional demeanor and soft-skills• Positive and personable can-do attitude• Proficient in Zoom, Microsoft Office suites (Word, Excel, PowerPoint, Outlook), Box, Concur and Google Docs• Experience handling confidential materials

Work personas
Work personas are categories that are assigned to employees depending on the nature of their work. Employees will fall into one of three categories: Remote, Flexible or Required in Office.
Required in Office
A required in office work persona is defined as an employee who is contracted to work from or aligned to a ServiceNow-affiliated office. This persona is required to work from their assigned workplace location 100% of the work week based on the business needs of their role.
Flexible
A flexible work persona is defined as an employee who is contracted to work from or aligned to a ServiceNow-affiliated office and will work from their assigned workplace location roughly 3 days/week or less (generally around 40-60% of the work week). Flexible employees may choose to work the remaining working time from their workplace location or home. Flexible employees are required to work within their state, province, region, or country of employment.
Remote
A remote work persona is defined as an employee who performs their responsibilities exclusively outside of a ServiceNow workplace and is not contracted or aligned to a ServiceNow-affiliated office, including those whose place of work (pursuant to their terms and conditions of employment) is their home. Remote employees are required to work within their state, province, region, or country of employment.
