The Role:

At Grand Rounds, the Executive Assistant team provides proactive and energetic support to C-Level Executives by independently handling crucial administrative tasks to contribute to the overall successful day to day operations of the department. This position requires a genuine passion for providing highly quality support with a no task is too big or too small approach. With superior judgement to make high-quality decisions, this individual is forward thinking, takes initiative, and delivers results with poise and professionalism. Success in this role requires the drive to get to know the business of Grand Rounds, your Executive’s department, as well as building relationships with stakeholders within your department and other departments to achieve results quickly and effectively. This is a 4-month position located in SOMA in San Francisco.

Responsibilities:

  • Proactively manage, assess, and predict the day to day needs of the Executive(s), ensuring they’re prepared and organized for all meetings
  • Be a partner to the Executive, offering strategic support to enable them to be a productive leader
  • Develop a deep understanding of all the functions in your group and become a trusted advisor for the leadership team when they need information
  • Complex calendar management and internal/external meeting coordination
  • Coordinate meeting logistics, including catering, conference space and attendee communications
  • Compile, submit, and track expenses with strong knowledge of T&E policies
  • Assist Executive with booking travel and manage logistics
  • Coordinate team meetings, activities, and communications
  • Arrange and schedule all interviews with recruiting
  • Project manage tasks to ensure follow-up to action items
  • Leverage internal network and teams to effectively manage workflow
  • Compile reports, organize data, and create presentations, as needed
  • Partner with other Executive Assistants to provide additional support or backup

Qualifications:

  • Bachelor's Degree
  • Minimum of 5+ years of recent, full-time administrative support, reporting to 1 or more executives (recent is within last 3-5 years)
  • 5+ years of managing the calendar, expenses, and travel of a C-level executive or similar
  • Tech savvy with expertise in G-Suite, Slack, Mac
  • Heavy calendar management experience
  • Strong interpersonal communication skills, communicates effectively by actively listening, checking for understanding, adjusting communication content by style to meet diverse stakeholders, and providing timely information
  • Highly collaborative
  • Willing to work cross-functionally
  • Work well under pressure in a rapidly changing environment
  • Customer service focus and attitude with a genuine passion for anticipating needs and providing support that exceeds expectations
  • Handle highly confidential materials with discretion and tact
  • Demonstrated ability and willingness to continuously acquire new competencies and accept new challenges
  • Strong project management, organizational, and detailed planning skills with the ability to work on multiple objectives with tight deadlines
  • Extremely organized and able to prioritize and manage multiple projects simultaneously
  • Self-starter
  • Ability to stay on top of new tools and technologies
