EXECUTIVE ASSISTANT

Marin Software is seeking an experienced, committed, high-energy, detail-oriented Executive Assistant to support the C-level Executives. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and have an ability to work in a pressurized, fast-paced environment, while remaining unflappable. Excellent communications skills and a high level of professionalism and confidentiality are assumed. The ideal candidate will have been an Executive Assistant for hyper-growth public company or investment bank. 
Responsibilities:

  • Full calendar management for Executives
  • Coordinate and prepare internal / external meetings, including communications, room facilities, agenda, IT set-ups, etc.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Arrange domestic and international travel schedule and reservations, including expense reporting processing
  • Accurately manage follow-up items from meetings (both internal and external, where appropriate)
  • Monitor daily incoming phone calls and meeting requests and manage emails where appropriate
  • Ensure documentation that requires authorization is signed within the agreed timeframes and processed smoothly
  • Periodic support for other global Execs
  • Handle special ad hoc projects as necessary
  • Manage and co-ordinate the preparation of management information in advance of regular team/management meetings in order to facilitate efficient discussion
  • Handle personal projects as requested

Requirements:

  • 3+ years experience supporting at executive level
  • Excellent calendar management skills, including the coordination of complex executive meetings and travel arrangements
  • Strong knowledge of MS Office, including Word, Excel, and PowerPoint
  • Must be highly organized, thrive under pressure, be proactive, flexible, reliable, punctual and highly confidential
  • Must use tact, diplomacy, discretion and good judgment
  • Must have excellent written communication skills including strong spelling and grammar; must have the ability to carefully proof work and ensure proper format use
  • Must have excellent verbal and interpersonal communication skills and present a professional image both in person and over the phone.
  • Sense of humor; takes work seriously but does not take oneself seriously
  • Sense of passion and ownership for projects and tasks
  • Comfortable in a role that is not 9 to 5 and that can involve a lot of change and competing priorities
  • Experience of providing executive support required within similar hyper growth software / technology or finance business
  • Bachelors degree preferred
