Executive Assistant at Affirm

We are looking for a resourceful, proactive, and detail-oriented Executive Assistant to support our Senior Vice President of Product and our Senior Vice President of Operations. From calendar management and ensuring functional alignment within the team, to planning quarterly team events, you will be responsible for making sure the executives are using their time in the most efficient way possible. Reporting to the Senior Executive Assistant on the Technology Team, you will partner with your executives, collaborate closely with the Affirm EA team, be an invaluable team specialist, and individual contributor.
What You'll Do- Support the Senior Vice President of Product and Senior Vice President of Operations with their respective administrative needs
- Maintain the executives’ calendars, with full consideration of a nationwide team, spanning multiple time zones, and ensuring meetings contain the appropriate attendees and agenda topics
- Attend team meetings, manage Zoom, take notes, and track action items
- Assist with team All Hands meetings by sending deck templates to presenters, coordinating IT support if necessary, sending email reminders prior to the meeting, and sharing meeting recordings afterward
- Support the operations and culture of the teams, which includes tracking team morale budgets to ensure availability of funds, and communicate with team members about the status of requests
- Partner with the EA team and key cross-functional stakeholders to serve as a catalyst around scheduling and/or spontaneous inquiries and requests
- Be a liaison for, and to, the Product and Operations teams
- Partner with the EA team to help establish best practices
- Additional administrative functions to include expense reports (via Concur), travel coordination (via TripActions), and preparation of documents and presentations (using Google Suite)
- 1-3 years professional administrative experience
- Familiarity with engineering, product, and/or technology teams
- Ability to navigate and thrive in an ambiguous environment
- Ability to deal with conflict as well as give and receive feedback diplomatically
- Outstanding verbal and written communication skills
- Proactive, exhibits positivity, strong work ethic, professionalism, confidentiality and good judgment
- Incredibly organized and resourceful; able to juggle and multi-task, with acute attention to detail and follow through

This role can be located anywhere in the U.S. Remote based employees may occasionally travel to an Affirm office for meetings or team building events. Our offices in San Francisco, New York City, Pittsburgh, Chicago, and Salt Lake City will remain operational and accessible for anyone to use on a voluntary basis.
