We are developing new learning experiences by modeling how students learn and drawing upon knowledge acquisition, retention, and pedagogy in cognitive science. Quizlet is thriving and growing as our user base has doubled in the last year. To support our growth, we are in search of an Executive Assistant to enable seamless operations and play an integral role by providing support to our executive team. Initially, you will work alongside our CEO, SVP of Engineering and VP of Product. The ideal candidate loves working in a transparent, highly collaborative and fast-moving environment.

Responsibilities

  • Generally manage and maintain executive team calendars, including scheduling and setting reminders for executives to keep them running on track
  • Plan and coordinate onsite and offsite meetings, team off-sites and team events
  • May assist with the execution of company events, such as holiday parties, happy hours, summer picnics, and offsites
  • Book executive travel and coordinate registrations for seminars, conferences, and other events
  • Attend meetings and assist with set up, agendas, materials, presentations, notes and follow up on action items
  • Complete and submit weekly expense reports 
  • Order and coordinate meeting and team lunches
  • Maintain a high level of confidentiality and integrity when working with sensitive information and VIP guests
  • Anticipate and act on the needs of the executive team to proactively manage EA responsibilities - think 5 steps ahead!
  • Collaborate and partner closely with people ops, recruiting, finance, workplace, and other internal teams to effectively carry out the duties and execute on projects

Qualifications

  • Successful history of managing complex calendars, expenses, and global travel of multiple executives
  • Experience working with executives in a fast-paced environment preferably in a high-growth company
  • Excellent collaboration and relationship building skills
  • Quick learner and able to problem-solve effectively
  • Exercises sound judgment, confidentiality, and professionalism
  • Detail-oriented and meticulous, with strong organization, prioritization and multitasking skills
  • Demonstrates leadership to maintain credibility, trust, and support with executives
  • Experience working with engineering and technical teams a plus
  • Advanced skills in Google Suite and Slack
