What is the Healthcare Administrative Coordinator Role?

The Heathcare Administrative Coordinator is responsible for providing exceptional coordination and administrative support to our members and care provider teams, with the ultimate goal of enabling the highest quality mental healthcare services. The Heathcare Administrative Coordinator will have direct interaction with our members on a daily basis through secure messaging or phone to assist with scheduling, preparing members for appointments, collecting and processing member information, and basic technical support. The Heathcare Administrative Coordinator will help our clinical team increase efficiency by optimizing member communication, submitting and processing requests for medical records, sending patient reminders, updating EMR information, and assisting with Mindstrong provider coordination. 

We are looking for enthusiastic, highly motivated individuals who demonstrate a high level of organizational skills and comfort with technology. Knowledge about mental health is a plus.

Responsibilities:

  • Working closely on a team of healthcare professionals who are bringing quality mental health services to a diverse group of members
  • Requesting, organizing and storing of member’s medical records 
  • Managing faxes and email communication to members and external providers
  • Summarizing and updating patient data in our Electronic Medical Records (EMR) system
  • Scheduling patients for psychiatry or care management sessions and sending appointment reminders
  • Sending patient summary information to psychiatrists prior to their first appointment with a new patient
  • Coordinating contact with patients’ external care providers
  • Assisting with clinical efficiency 
  • Assisting members and external providers with technical support
  • Uphold company values and maintain a strong team dynamic including sharing your specific expertise with teammates.

  • Take ownership of the quality of your work and strive to improve.
  • Perform other duties as assigned.

Requirements:

  • Passion for helping people and technology in healthcare
  • High school diploma or equivalent;  Bachelor’s Degree preferred
  • 1-2 years of experience in a healthcare setting
  • Basic knowledge of medical terminology, Health Insurance Portability and Accountability Act (HIPAA) and patient rights is preferred
  • Strong interpersonal communication skills: display active listening and empathetic communication skills with patients, physicians and staff; build solid relationships and work well with individuals of all ages and backgrounds
  • Strong computer and typing skills, comfort with web-based applications, and navigation between tools
  • Highly organized with strong attention to detail and capable of working independently.
  • Ability to adapt your tone and approach to fit a diverse range of personalities and situations.
  • Startup experience is a plus
