What are we looking for?

We are looking for an enthusiastic and energetic Office Assistant / People Coordinator. In this role, you will  be responsible for greeting clients and visitors to our office. You will be in charge of giving clients directions to various parts of the office, contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.

To be successful in this role, you will need excellent written and verbal communication skills, as well as competency in G-Suite applications. Prior experience as a receptionist is preferred.

What will you do?

  • Provide reception support to all visitors, with a primary goal of ensuring a great first impression of our company.
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Manage COVID compliance and safety protocols, including the attendance tracker and other County requirements
  • Assist with onsite event planning:holidays and special events
  • Facilite onsite vendors and catering
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Performing ad-hoc administrative duties.
  • Other duties may be assigned

What skills and knowledge should you bring?

  • High school degree; additional certification in Office Management preferred
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in G-Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Multitasking and time-management skills and organizational skills  with the ability to prioritize tasks
  • Positive and enthusiastic customer service attitude with a high tolerance for change and pressure
  • Demonstrated ability to be proactive, take initiative and exercise good judgment.

Qualifications:

  • Intermediate or above Excel ability (pivot tables) a plus
  • Team player with strong interpersonal skills
  • Strong desire to learn and problem solve in a fast-paced environment
  • Superior organizational skills, attention to detail, and integrity
  • Resourcefulness and self-sufficiency
  • Confident and diplomatic; can work with employees at all levels of the organization
  • High degree of accuracy and detailed oriented
  • Excellent time management and prioritization skills and the ability to multitask
