We are seeking a highly motivated Office Coordinator, Workplace Services to join our Global Workplace Services (GWS) team. You will be responsible for delivering our first impression and support the creation of exceptional experiences for our people and guest. This is a fantastic opportunity for an experienced, well organized coordinator with a passion for exceeding expectations. Responsibilities:

  • Manage and action to all request in a timely manner and to company guidelines.
  • Meeting and greeting internal/external guest maintaining confidentially and discretion at all times. 
  • Provide information and resources by proactively identifying guests’ needs. 
  • Highlight any common issues being experienced by guests. 
  • Act as the local Workplace brand and service ambassador to promote our services, amenities and events. 
  • Assist with internal communication. 
  • Assist with internal special events and promotions as required. 
  • Provide high end, premium service to represent our brand. 
  • Maintaining all areas of our Workplace ensuring it looks pristine at all times. 
  • Booking couriers, carry out various ad hoc administration duties and provide administrative support as requested/required. 
  • Oversee meeting rooms to ensure they are “ready” at all times. 
  • Efficiently react to issues as they arise to ensure they are resolved efficiently.
  • Ensuing all GWS processes and procedures are followed at all times.
  • Work closely with other GWS and cross function teams (HR/Legal/IT/Finance) to ensure we are delivering our services consistently locally.
  • Other duties that are deemed appropriate for the role at managers discretion.

Requirements:

  • 2+ years of operations and office management experience, preferably in a fast-paced tech environment, hotel, or professional services environment.
  • Strategic thinker with an analytical mind.
  • Ability to operate calmly under pressure and manage competing priorities.
  • Strong personal awareness.
  • Strong communication skills (oral/written).
  • Strong relationship management skills.
  • Understanding of continuous improvement methodologies.
  • Self-starter.
  • Creative.
  • Enthusiastic, committed and determined.
  • Excellent IT skills.
  • Sense of humour.
  • Eye for detail.
  • Able to lift up to 50 pounds without assistance.
