Overview:

Fivestars is looking for a dynamic Office Manager, “the glue that holds everything together.” You will support all departments in this fast-paced company, and we're looking for someone who is highly organized and flexible. The ideal candidate must be independent and problem-solving in nature, and willing to take on challenges without a handbook.

Responsibilities:

  • Maintain and upkeep the SF and remote offices nationwide, including stocking office supplies, coordinating cleaning, and assisting with office moves as necessary
  • Oversee the conference rooms and reception areas, and prepare for meetings
  • Organize company-wide events, lunches, monthly staff meetings/celebrations, and quarterly volunteer activities 
  • Arrange travel and hotel accommodations for staff 
  • Design and implement office procedures, internal communications, and safety coordination
  • Manage the budget related to office spending; partner with the Accounting Department for reconciliation
  • Manage relationships with external contractors, vendors and other key stakeholders
  • Assist with monitoring and responding to IT Help Desk tickets
  • Assist with minimal Executive Assistant responsibilities such as scheduling meetings and managing Google Calendars for C-level executives
  • Office Manager and Executive Assistant responsibilities vary based on needs

Requirements:

  • 3-5 years of Administrative or Project Management experience
  • Enjoy working in a startup environment with an ever-changing landscape
  • Friendly, personable, approachable, and able to connect well with everyone. Smiling too much is impossible!
  • Computer skills (e.g., Microsoft Office Suite or Google Business Suite, Adobe Creative Suite) 
  • Resourceful and comfortable taking initiative
  • Independent self-starter with the ability to work in a dynamic team environment
  • Ability to handle multiple detailed tasks simultaneously and independently
  • Flexible and able to adapt to changing roles and priorities 

Preferred:

  • Bachelor's Degree 
  • Startup experience 
  • Working knowledge of office systems and processes
