Position: Workplace Operations Coordinator/Receptionist

Location: San Jose, CA

The Workplace Operations Coordinator/Receptionist will report directly to the Workplace Operations Manager, working as part of the Real Estate and Workplace Operations team.

 

Responsibilities: 

  • Customer Service: provides high touch front desk experience for employees and guests
  • Expert Communicator: send communications to HQ teams regarding building related issues
  • Logistics Management: manage mail, shipping and receiving program
  • Event Management: provide support for internal events
  • Office Administrator: administrative duties including expense reports and invoicing
  • Physical Security: creation and distribution of ID cards and physical building access
  • Facilities Management: receive, route, and track workorder tickets to completion, ownership of ServiceNow application
  • Hourly Position: potential for OT hours as needed 

Required Experience/Skills:

  • Bachelor's degree in business, Facilities or other related fields
  • 3+ years of related office management, receptionist, or facilities experience
  • Exceptional communicator (verbal and written)
  • Critical thinker who is a resourceful and creative problem solver
  • Have a strong spirit of service
  • Proficient in Microsoft Office and Google applications
  • Ability to multi-task and pivot to new priorities in a fast-paced work environment
  • Highly organized with great attention to detail, strong sense of urgency, and efficient time management skills
  • Motivated self-starter with a growth mindset
  • Responsible, punctual, and professional
  • Ability to work independently and as part of a team
