You’re a great fit if you’re not only organized and detail-oriented but also proactive in identifying process improvements and anticipating team needs. You have a customer-service mindset, a solutions-oriented approach, and the ability to operate with a high degree of ownership. Working closely with recruiters, hiring managers, and cross-functional partners, you’ll play a key role in ensuring candidates have a seamless, high-touch experience and that our recruiting operations run efficiently and effectively.

RESPONSIBILITIES
  • Manage complex, high-volume scheduling for multiple recruiters and hiring teams, including phone, virtual, and onsite interviews.
  • Serve as a strategic partner to recruiters, anticipating scheduling needs, balancing competing priorities, and finding creative solutions when challenges arise.
  • Own the candidate experience, ensuring communication is timely, professional, and personalized throughout the entire process.
  • Coordinate logistics for onsite and virtual interviews, including travel arrangements, onsite hosting, and day-of candidate support.
  • Maintain data accuracy within ATS and ensure compliance with recruiting processes and reporting standards.
  • Proactively identify and implement process improvements to streamline scheduling, communication, and candidate experience workflows.
  • Collaborate cross-functionally with HR, IT, and business partners to support hiring events, onboarding readiness, and other recruiting operations initiatives.
  • Contribute to project work across Recruiting Operations (e.g., interviewer training, scheduling automation, reporting, or candidate experience enhancements).
  • Take on special projects and operational ownership as assigned.
QUALIFICATIONS
  • 3+ years of recruiting coordination or recruiting operations experience within a high-growth or complex organization.
  • Demonstrated ability to manage competing priorities across multiple roles, teams, and stakeholders with minimal oversight.
  • Proven success in problem-solving and decision-making, especially in fast-changing or ambiguous environments.
  • Excellent organizational and communication skills with the ability to influence and build relationships across all levels of the organization.
  • Strong commitment to delivering a world-class candidate experience.
  • Advanced knowledge of Greenhouse or Ashby is preferred; experience with tools like ModernLoop, Navan, Envoy, and Workday a plus.
  • Comfortable with data integrity and reporting within recruiting systems.
  • High level of discretion and professionalism when handling confidential information.
  • Proactive, resourceful, and eager to own projects and drive improvements.
