The Role

Job Description
Role Overview: Citadel Securities is looking for an experienced executive assistant to support a senior executive within our client franchise. The Executive has a heavily external-facing role, and this position will act as the internal and external interface for the Executive.
Location: Miami - 200 S Biscayne Boulevard
Responsibilities:
• Work directly with the Executive to support all aspects of daily work routine: call intake, calendar management, internal and external engagements
• Maintain calendar and handle scheduling of all meetings and appointments
• Arrange domestic and international travel needs through internal travel department and create complete travel itineraries for all trips - this includes flights, car services, hotel reservations, etc.
• Coordinate external events, interacting with internal communication and marketing teams to align on event scope and external vendors to procure venues
• Organize and arrange onsite meetings, prepare and distribute agendas and materials
• Manage, organize and maintain expense reports
• Act as a gatekeeper for Executive calendars, screening and prioritizing meetings
• Maintain high level of confidentiality
• Regularly exercise discretion and judgment in important matters, including planning events and scheduling meetings and appointments for Executive
• Have authority to carry out major assignments impacting business operations
• Drive projects with limited supervision from Executive
• Interview, hire, train, supervise, and/or delegate tasks to other assistants
Qualifications:
• Experienced professional with a minimum of 5 years of experience, with both executive assistant and project management experience
• Excellent English, grammar, written and oral communication skills
• Proven record of successful problem solving
• Excellent critical thinking and analytical skills
• Superior organizational skills and record-keeping, and strong attention to detail
• Excellent interpersonal skills, positive attitude and high energy level
• Adaptable, flexible to changes and the ability to work in a fast-paced environment
• Proficiency in Microsoft Suite products
• Bachelor's degree required
