The Role:
Carrot Fertility is seeking a Payroll Manager to meet the needs of our fast-growing company. You will work on our Finance team and partner with the People and Business Operations teams to process payroll accurately, on time, and in compliance with legislative requirements across 25+ states.
You will play a key role in supporting the company’s semi-monthly payroll processing for 150+ US employees and maintain records for all employee compensation and deductions in accordance with local regulations/laws.
You will enter and audit employee data, collaborate with external vendors to ensure the appropriate data is processed accurately and timely, and strive to continually improve operational processes as well as ensure a great employee experience.
The right candidate will be a trusted partner of core teams across the company.
- End-to-end payroll operations including payroll onboarding, status changes, leave management (pregnancy, parental, and disability), and offboarding
- Process semi-monthly payroll for all US employees across 35+ states
- Respond to any state and IRS equivalent inquiries/audits
- Address employee questions concerning pay and payroll deductions
- Process semi-monthly 401(k) funding and contribution changes
- Assists with month-end reconciliations and able to prepare fluctuation analysis
- Help audit employee records, to ensure accuracy and the information is up to date
- Payment of special transactions such as off cycle payments, retroactive pay, garnishments, and other statutory deductions
- Prepare 401(k) balancing and funding in Fidelity
- Own registration process for new/provincial state tax compliance
- Reconcile W-2 forms to ensure accurate entry of all compensation transactions, and quarterly Federal and State returns and amendments

Minimum Qualifications:
- Experience in Federal, State, and Local labor laws, payroll tax requirements, payroll regulations and industry changes that affect payroll operations
- An eye for detail—you can tell when something's off, and you won't rest until it's fixed
- Excellent problem-solving skills and judgment
- Strong Excel and Google Sheets skills
- Ability to handle sensitive information with complete confidentiality
- Experience with multi-state tax registrations and filings
- A highly collaborative team player and self-starter who's willing to roll up their sleeves to get things done
- A clear and friendly written and verbal communication style
Preferred Qualifications:
- Experience with payroll processing systems and ability to learn new systems as required
- A deep understanding of Payroll practices, legislation and regulations
- Intermediate to advanced Excel/Google Sheets proficiency and ability to work with large datasets
- An understanding of employee benefits plans and their impact on payroll
- 4+ years of relevant payroll experience
- Strong knowledge and experience with 401(k) plan administration, Non-Discrimination Testing, 5500 Audits, and fiduciary responsibilities
- Bachelor's degree preferred
