Instawork is hiring its first Payroll Manager, reporting into the Controller, to help build a professional payroll function within the company. This role is a mix of very hands on, traditional payroll tasks and forward-looking projects to improve our systems and processes. Based in our San Francisco office, this is an awesome opportunity to join an early stage company with great investors, helping real people, every day.

Duties and Responsibilities

  • Prepare semimonthly payroll for all US employees and contractors (120+)
  • Prepare weekly payroll for all W2 Gig Professionals 
  • Manage all payroll operations related to employee compensation, bonuses, commissions, equity transactions, benefits, etc
  • Research discrepancies; identify and resolve payroll-related issues
  • Perform monthly payroll close duties, including the preparation of period-end accruals and monthly journal entries for all payroll and benefits, and preparation of reconciliations of payroll accounts
  • Responsible for the timely preparation and calculation of any special checks, i.e., termination pay, adjustment, bonus, etc.
  • Provide formal and ad-hoc analyses of payroll, benefits, and headcount
  • Deliver out of cycle/ad hoc payments to employees and production and issuance of manual checks or electronic transfers to bank accounts
  • Produce audit reports to validate payroll data integrity
  • Support annual financial statement, benefit and 401k audits as required
  • Manage annual preparation and delivery of Form W-2s and 1099’s
  • Continue to drive process improvement.
  • Comply with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advise management on needed actions.
  • Be an experienced payroll resource for the entire company.

Requirements

  • Bachelor's degree from four-year college or university
  • 5-7 years experience managing multi-state payroll processes and familiar with new-state registration
  • Highly analytical with a strong working knowledge of general payroll protocols, accounting principles and Federal, State and local regulations
  • Business knowledge of 401(k), Benefits plans, ACA policies and mobility.
  • Highly proficient in MS Office (esp Excel) and G-Suite
  • Zenefits, ADP required, Netsuite preferable
  • Certified Payroll Professional certification a plus
