Job Description:

WideOrbit is a fast-paced operation with lots of facility related needs. As a Facilities Coordinator, your role involves varied tasks and responsibilities; from assisting with inter-office moves and setting up events to daily office maintenance and ordering supplies. If you are a reliable, upbeat, customer service oriented individual, comfortable engaging with a wide cross-section of people and seek an exciting work environment this role may be a good fit for you.


Here is what you’ll be doing:

  • Organize and clean various parts of the office, storage area and café (including snack, dish area, employee refrigerator) and keeping conference rooms tidy.
  • Order office and café supplies.
  • Participate in the planning, prepping and running of conferences, office lunches, conventions and/or offsite meetings.
  • Manually pull reports and files from storage to support the accounting and human resources functions.
  • Assist with repairs such as wall repair, painting, fixing appliances, and hanging artwork.
  • Responsible for receiving and distributing inbound and outbound office shipments.
  • Stock first aid, mail, kitchen, shipping and office supplies as needed.
  • Coordinate and manage repairs for mechanical, electrical, plumbing, glass and carpentry repairs, in addition to any other needed facility related items at each location in the assigned region.
  • Coordinate day-to-day planning of construction, alteration, renovation, maintenance and ongoing operations of all company facilities.
  • Participate and execute office moves and set up plans including moving furniture and setting up workstations.
  • Work with all departments to support company events; handle many aspects including, testing equipment and setting up for the functions ahead of schedule to ensure events are successful.
  • Respond to building emergencies as needed and be a member of the office emergency response team.
  • Proactively look for ways to keep the office organized and anticipate future facility and office needs.
  • Apply initiative and independent judgment to resolve both routine and non-routine problems.
  • Maintain a positive demeanor and work collaboratively with other departments.
  • Communicate effectively (verbally) with coworkers on a daily basis to troubleshoot and respond to requests.


Here is what we’re looking for:

  • Facility maintenance experience preferred
  • Proficient with small hand tools
  • Ability to lift up to 50 pounds without assistance
  • Excellent people interaction and verbal communication skills required
  • Strong organizational skills with the ability to prioritize and multi-task
  • Willingness to take initiative and resolve problems
  • Ability to work with all levels across a professional organization
  • Ability to be spontaneous and handle last minute tasks
  • Ability to work well independently within a fast paced, dynamic, deadline-driven environment
  • Proficiency with Microsoft Office
  • Must have customer service experience

Location:

This position will be based in our San Francisco, CA office.
