About the role:

As Senior Events Manager you’ll lead the events team and oversee the planning and execution of both in-person and virtual events—to help create new sales opportunities, build brand awareness, and delight our key audiences (benefits managers, consultants, consumers, physicians, etc). You will work in close collaboration with cross-functional teams across the company to identify key events, negotiate sponsorship agreements, plan and execute Grand Rounds-hosted events, and manage the full lifecycle of event logistics.

You have a solid understanding of how events align with overall Marketing and GTM strategies, and bring a winning mix of creative energy; data- and results-driven mindset; willingness to get hands-on in partnership with other collaborators; strong attention to detail; and wholehearted empathy for our mission and those we serve.

During your first 30 days:

  • Onboard with the Grand Rounds team in San Francisco, engage in internal learning, meet key collaborators/stakeholders across Marketing, GTM (Demand Generation, Sales, Customer Success, Strategic Alliances), and Employee Experience.
  • Quickly develop an understanding of where we sit within the healthcare/health benefits ecosystems, our current and future products and services, and personas of each of our key audiences
  • Analyze/evaluate our existing events program and team, and take ownership of logistics, coordination and planning for currently in-flight events
  • Begin to build relationships with our existing events vendors

During your first 60 days:

  • In conjunction with audience owners (e.g., B2B Demand Generation, Employee Experience, Consumer Marketing, etc), develop an annual events calendar that includes important milestones, such as sponsorship and production deadlines 
  • Create a process and system in Asana for tracking and executing events flawlessly
  • Implement process controls to improve coordination across departments
  • Continue to work with audience owners to identify new/valuable event opportunities and requirements; drive internal approval and external application process 

During your first 90 days:

  • Continue to exhibit an ability to work independently, while maintaining exceptional levels of quality control from project start to finish 
  • In partnership with audience owners, exit Q4 with final, approved events strategy for 2021 
  • Demonstrate execution against defined objectives and metrics
  • Support in building and growing a high-performing events team 

Responsibilities:

  • Plan and execute high-quality events that build our brand awareness and accelerate pipeline development.
  • Partner with audience owners to ensure clear measurement tactics to report ROI for events, including attendee feedback and lead captures. 
  • Develop and maintain a centralized annual event calendar using Asana
  • Manage event logistics, including onsite booth staffing and speaker prep
  • Manage relationships with vendors for exhibiting, marketing materials, catering, entertainment, transportation, etc., and ensure all event elements are executed on time, accurately and cost-effectively
  • Partner with audience owners on budget maintenance process, including vendor contracts, POs, invoices, tracking and reconciliation
  • Build processes to scale events resources and activities
  • Manage and grow a high-performing events team

Qualifications:

  • Bachelor’s degree and 4-6 years experience in marketing and event management 
  • Prior experience directly managing a team
  • Prior experience managing virtual events—have a strong understanding of the current landscape, tools/technology, and best practices
  • Exceptional project and time management skills—highly organized, able to prioritize, detail-oriented, results-driven, and accountable
  • Strong writing skills and ability to communicate effectively with vendors and stakeholders
  • Enthusiastic collaborator who is able to effectively work across teams with many different stakeholders
  • Sound business judgement and problem-solving abilities
  • Desire to succeed and grow in a demanding, creative, and entrepreneurial environment
