The members of the Workplace Experience team are the culture carriers at Coinbase, acting as the heartbeat of the company, driving global connection and inclusion throughout the entire employee lifecycle. We create inspiring, safe, frictionless environments, both in-office and remotely, allowing employees to focus on doing their best work. We pride ourselves in our ability to create and support moments of surprise and delight, while at the same time driving and executing company-impacting projects and overall improvements. We are the concierge team of the workplace, a resource for employees when they don’t know where else to turn. 

What you’ll be doing (ie. job duties):

  • In-Office Coordination
    • Establish and manage Coinbase local service provider relationships. Such services could include overseeing catering, snacks and beverages, ordering supplies,  service for small equipment, recycling pick-up coordination, janitorial etc. 
    • Assist with various employee requests or office issues by creating work orders with the landlord or property management group. May include electrical, flooring, lighting, HVAC, painting, pest control, plumbing, signage, security, etc.
    • Ensure that facilities issues are identified and repaired quickly by conducting weekly office audits/inspections.  
    • Hold building management accountable for delivering quality services and verify that all lease obligations are being met.
    • Serve as a key point of contact for various events or meetings. You will be the coordination expert to assist in determining room preference and configurations. Compile and share conference room setup requirements, coordinate food and beverage requests, after hours HVAC, and any janitorial needs.  
    • Hands-on support when needed, i.e. event set ups, room configurations, employee desk moves, deliveries, etc.  
    • Oversee or manage the reception desk and visitor check in process when necessary.
    • Willingness and ability to be in office most days of the week.
  • Employee Experience & Support Services 
    • Monitor and respond to incoming tickets, emails, slacks, and calls. Establish the appropriate group to handle the service request and route appropriately. 
    • Be a resource and connection point  for all employees regardless of status (in-office, hybrid or remote employees)
    • Host and facilitate regional onboarding sessions.
    • Coordinate and plan monthly in office and virtual events (both locally and regionally
    • Drive employee engagement through partnership with the BID team, local ERG’s, and various social committees.
    • Curation of local surprise & delight initiatives (snack boxes, diy kits, swag, etc).
      • Assist with or manage additional/special projects as needed.
      • Contribute new ideas to engage and energize the Workplace Experience team in improving productivity, efficiency, and quality of service delivery.
      • Manage accuracy, production, quality and retention of any key program materials.

What we look for in you (ie. job requirements):

  • 3+ years of related hands-on Office Manager, Facilities and/or Workplace Operations experience required.  
  • Broad knowledge of Workplace Operations policies and procedures.  Excellent customer service skills with a pleasant and calm demeanor.
  • Experience handling internal moves and space planning
  • Ability to work in a flexible, positive, and team-oriented work environment, while being open to change and a mindset to initiate and embrace process improvement. Excellent organizational and multitasking skills.
  • Self-starter; handles self with minimal supervision and is proactive. 
  • Excellent communication skills (verbal and written). Substantial knowledge and experience using Google suite. 
  • Ability to walk, stand, kneel, and carry objects up to 50 lbs.
  • Ability to support +/- 1 timezone.
