As Our Office Coordinator You Will:

  • Work with Facilities to ensure the office runs smoothly
  • Vendor management
  • Badging system
  • Work with property management to resolve issues in a timely manner

  • General Office Duties 
    • Be the first point of contact for employees regarding office needs 
    • Order snacks and supplies for the office 
    • Assist teams as needed with ordering lunch and/or helping to plan team events 
    • Review incoming voicemail messages
  • Special Admin Projects
    • Assist with planning and logistics for company events 
    • Order swag for company event, working with design and marketing
    • Assist other HLT members with planning team events
  • Assist HR and Recruiting as needed 
    • Welcome interviewees & be the first point of contact for guests 
    • Data entry into ADP and coordinate with Payroll as necessary
    • Assist with onboarding/offboarding tasks (database maintenance of various systems)
    • ZenDesk triage (responding to/assigning tickets in the HR Help desk system)
    • Assist with COVID screening software, ensuring employees are adhering to office policies 
    • Set up new hire desks, making sure new hires are comfortable and acclimated to the office 
    • Send out new hire swag to new employees
    • Helix Hero, employee recognition program  

About You:

  • 2 - 3  years experience in an administrative or hospitality function 
  • Proven ability to manage multiple projects
  • Ability to “jump in” and make an immediate impact 
  • Team player who wants to be a part of a growing administrative team
