ROLE OVERVIEW
As the Workplace Operations Manager, you welcome the challenge of building spaces, programs and teams from the ground up. This role reports to the Senior Manager, Global Workplace Operations and is located in San Francisco, CA.
YOUR IMPACT
- Execute and support safe and successful return to office strategy, partnering with leadership and functional stakeholders.
- Maintain an orderly, safe, and healthy work environment by establishing, following, and enforcing standards and procedures, complying with legal regulations
- Create and manage office policies and procedures. Prioritize culture, safety, sustainability, and wellness.
- Establish and enhance strong relationships as building liaison. Develop relationships with landlord, vendors, customers, and across various levels of Benchling.
- Coordination of facility maintenance / tenant improvement projects as necessary. Work alongside internal stakeholders to complete TI projects
- Own all facility related vendor relationships (e.g. janitorial, office facility repairs, preventative and on-going maintenance).
- Manage ticket workflow by maintaining SLA and priority ranking; escalating to management as needed.
- Strategically manage the team’s overall communications plan, including building out resources and process for communicating in different mediums at different scales. This may include change management, presentations, all-hands messaging, newsletters, etc.
- Communicate program and policy information with regular updates to the team, leadership and employees.
- Pitch in when necessary; supporting all Benchling locations. No job is too big or too small.
- Create SOWs, Manage POs, and perform quarterly business reviews.
- Track utilization metrics and operational spend and make recommendations to improve efficiency while maintaining quality experiences. Prepare and manage an annual budget. Schedule expenditures, analyze variances, and initiate corrective actions as needed.
- Support the management of financial processes, including invoicing standards, spend guidelines, and budgeting tools, and auditing of vendors and maintenance of existing accounts/vendor relationships.
ABOUT YOUMust Haves:
- 3+ years office management, employee experience, events management, property management experience or similar
- Experience managing a team and/or multiple vendors
- Exemplary communication skills, both written and verbal, with the ability to build relationships and communicate effectively with employees at all levels of the organization
- Accountable, resourceful and proactive
- Excellent problem solving skills, with an ability to recognize opportunities and develop ways of addressing them. Including planning, developing, executing and driving cross-functional collaboration
- Passion for building and maintaining a tight-knit community within the workplace
- Exceptional organizational and time management skills, with strong attention to detail and a proven ability to take ownership of multiple projects, competing priorities and constantly re-prioritizing in a fast-paced, ever-changing environment
Nice to haves:
- Experience with managing large-scale projects
- Previously helped shape culture, process, and communication
- Facilities experience is a big plus
- Previous experience working across a variety of timezones, cultures, and markets
