A BOLDSCIENCE Account Executive (AE) is an organizational guru who can juggle multiple deadlines while ensuring their account teams receive accurate and timely updates. Many are new to the medical communications industry but have an inquisitive mindset and a passion for continuously learning and developing. At this stage in their careers, it is all about learning and asking questions. At BOLD, they will learn from the medical communications industry and start to develop their project and financial management skills. An AE desires to work as part of a team and is constantly looking for ways to help and support their account teams. They have excellent self-awareness to know when to drive actions forward proactively and when to stop and sense check their approach with senior leaders.

DAY TO DAY RESPONSIBILITIES:

At BOLDSCIENCE, no two days are the same, and our Account Executives play an active, hands-on role in providing day-to-day support to their client account teams. Through their proactive approach and persistence to drive actions forward, they quickly become an integral member of their account teams. Some of the day-to-day responsibilities include:

Client Management Skills:

  • Carries out their own research and asks questions to develop their knowledge of the client account, gain background on key therapy areas and the competitor landscape
  • Regularly asks questions to build their knowledge and understanding of the client business and internal BOLD processes and best practice
  • Develops a good understanding of the roles of their account team and understands how their day-to-day responsibilities contribute to the wider team; starting to understand their role is more than isolated tasks and can think laterally about the impact they have on the wider team and the importance of keeping individuals informed and updated
  • Uses platforms or client-specific tools such as Datavision and/or Veeva as required. Tasks may include data entry and audit, preparation, upload, and tracking of materials and/or reporting

Project Management Skills:

  • Supports the account team with the preparation of accurate timelines, status reports, action lists, and contact reports, ensuring that all information is up to date
  • Coordinates the scheduling and execution of internal/external meetings, prepares agendas and meeting minutes, and drives forward follow-up actions
  • Before internal and external meetings, ensures that the team has updated status reports and invoice trackers. Makes sure that the account lead has an accurate snapshot of account activity
  • Takes ownership and responsibility for the timely and efficient implementation of assigned aspects of projects, consistently setting and meeting project deadlines in conjunction with their account lead
  • Where required, will assist with specific elements of onsite preparation such as onsite materials and assisting with the booking of travel & accommodation
  • Flexible and adaptable in approach. Happy to roll up their sleeves with all activities across their accounts
  • Works with the wider BOLDSCIENCE team (Scientific, Creative, Editorial, Finance, etc.) to ensure timely review and delivery of client deliverables

Financial Management Skills:

  • Starts to gain exposure of account financials, recognizing red flags to the account team and suggesting solutions for resolution
  • Becoming familiar with finance tracking software
  • Effectively liaises with external suppliers and sets up new Purchase Orders
  • Sets up new Job Codes
  • Completes timesheets accurately and in a timely manner
  • Requests and tracks client invoices. Flags to the account lead what is coming up this month
  • Gains an understanding of budgets and the importance of working within an agreed budget. Starts to own elements of the financial process and ask questions to ensure that processes are being followed correctly

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree preferred in science, pharmacology, or medicine
  • Strong organizational, communication, and relationship-building skills
  • Good attention to detail
  • Experience working in a busy, fast-paced environment with the ability to manage multiple projects while maintaining precision and excellence
  • Prior relevant interests and work experience
  • Strong computer proficiency and English grammar are also required
  • Track record of working effectively within a team environment
