Admin Assistant - S4 (Admin Assistant IV)

 

Responsible for performing administrative and clerical duties for individual(s) in an organization in order to relieve them of administrative details.

 

Responsibilities

  • Composes and/or transcribes routine correspondence, letters, and memos.  May proofread for grammatical construction, spelling and flow, and distribute to appropriate personnel.
  • Maintains alphabetical, numerical or subject filing systems.
  • Receives incoming mail, faxes, telephone calls and visitors and routes to appropriate department staff by exercising judgment regarding content and priority.
  • Assists in the preparation of reports, graphs, and presentations using spreadsheet and graphic software.
  • Acts as an informed source of company policies and procedures by answering routine questions or routing to appropriate employees for answers.
  • Schedules appointments and travel; maintains up-to-date appointment calendar; ensures that the executive is informed at all times of scheduled commitments.
  • Routinely plans and coordinates conferences, meetings and events by coordinating calendars, scheduling catering, ordering audio-visual equipment and working with facilities to ensure room configurations.
  • Conducts all aspects of the job with appropriate level of confidentiality and sensitivity to employee and organizational data by storing documents carefully and not disclosing confidential information except on a need-to-know basis.
  • Orders office supplies and equipment, and performs or arranges for routine maintenance of basic office equipment.
  • May assist in establishing office policies and procedures, and coordinate special projects and department activities.

 

Requirements:

  • Associate's degree required; Bachelor's degree preferred.
  • 6+ years of administrative support experience, preferably supporting senior leaders or executives.
  • Experience managing complex calendars and schedules across multiple time zones and functions.
  • Experience coordinating domestic and international travel arrangements, expense reporting, and related logistics.
  • Experience preparing, reviewing, and organizing presentations, reports, correspondence, and meeting materials, including documenting action items and tracking follow-up activities.
  • Experience coordinating executive meetings, site visits, leadership events, town halls, and other business-related engagements.
  • Experience supporting business operations through purchase requisition processing, invoice management, and budget tracking.
  • Strong interpersonal and communication skills, with the ability to build effective relationships across all levels of the organization.
  • Ability to handle highly sensitive and confidential information with discretion, professionalism, and sound judgment.
  • Strong attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.
  • Demonstrated ability to work independently, anticipate needs, and proactively resolve issues.

  • Proficiency in Microsoft 365 applications, including Outlook, Teams, PowerPoint, Excel, and Word.
  • Working knowledge of Artificial Intelligence tools such as ChatGPT or Copilot
  • Bilingual proficiency in English and Spanish preferred.

The anticipated compensation listed above and the value of core and optional employee benefits offered by Boston Scientific (BSC) – see www.bscbenefitsconnect.com—will vary based on actual location of the position and other pertinent factors considered in determining actual compensation for the role. Compensation will be commensurate with demonstrable level of experience and training, pertinent education including licensure and certifications, among other relevant business or organizational needs. At BSC, it is not typical for an individual to be hired near the bottom or top of the anticipated salary range listed above.


Compensation for non-exempt (hourly), non-sales roles may also include variable compensation from time to time (e.g., any overtime and shift differential) and annual bonus target (subject to plan eligibility and other requirements).
