Job Responsibilities:

POSITION SUMMARY:

The Administrative Assistant supports the ongoing administrative activities for the Department.  The Administrative Assistant is expected to initiate solutions to an array of situations and maintain the confidentiality of the department.

This position has been posted to fill an existing vacancy.

POSITION SALARY:
$69,306.64 CAD Annually

This range reflects only the base salary and does not include other components of our total compensation package, such as the Continuous Improvement Program, GRRSP Matching, MBC Program, and other variable benefits.

WHO WE ARE LOOKING FOR:
•    Must have Grade 12 Diploma or equivalent.
•    Post-secondary education in an administrative program OR minimum three (3) years administrative assistant work experience. 
 

YOUR PREFERRED QUALIFICATIONS:
•    Advanced knowledge of Excel.

DUTIES & RESPONSIBILITIES: •    
•    Performs all daily administrative activities of the department including; filing, typing, photocopying, answering telephones, faxes, payroll, phone/radio repairs, training administration etc.
•    Utilize Microsoft Office and Power BI as needed.
•    Maintains the files, statistical reports and records of the department.
•    Maintains confidentiality of appropriate information.
•    Organizational abilities necessary to effectively schedule appointments and meetings; prepare for meetings; make travel arrangements and reservations; receive visitors and route mail as required.
•    Performs Document Control Clerk functions under BOS procedures pertaining to the department (Engineering standards). 
•    Record minutes at meetings (when required). 
•    Organize and maintain all office equipment and supplies, and coordinate/track office supply budget activities. 
•    Attain functional understanding and proficiency of all application software used in the department. 
•    Maintain department and Team Member records/equipment/items as required ie, but not limited to, performance reviews, vacation requests, overtime lists, organizational charts, Team Member lists, phone/pager lists, confidentiality agreements, purchase orders, set up of new hires, statistical reports, manpower, etc.  
•    Update IMDS and Engineering specifications as needed (Eng. / QA Admin.)
•    Company vehicle scheduling and coordinating necessary maintenance, renewing yearly license sticker and weekly cleaning of vehicles (Eng. QA Admin).
•    Perform other duties as designated.
 

SALARY TEAM MEMBER BENEFITS:

    •  Option to bank your overtime to earn up to an extra 5 days of paid time off (approved in the same manner as vacation time) (27 hours x 1.5 = 40 hours).
