Job Description:

**This role is Hybrid, with an in person weekly requirement.

The Administrative Assistant II serves as a key business partner, providing administrative, operational, and organizational support to Merchandise Managers and the broader Buying Office. The role coordinate calendars, meetings, travel, expenses, reporting amongst other duties while acting as a central resource for communication, workflow coordination, and business operations. The Administrative Assistant II supports efficient execution of day-to-day activities and contributes to the overall effectiveness of the team and office.

  • Provides diversified administrative support for Divisional Vice Presidents within Merchandising
  • Respond to questions and requests, researching information and solutions as needed.
  • Interface with a variety of internal and external business partners regarding routine, complex, and confidential matters.
  • Collaborate with associates across departments and divisions to resolve issues and support business objectives.
  • Provide functional guidance and training to other associates within Division as needed.
  • Compose correspondence, memoranda, presentations, and other business communications.
  • Schedules and maintains calendar, meetings, travel itineraries and coordinates related arrangements.
  • Update operating practices and creates/revises systems and procedures as needed.
  • Organize and maintain filing systems, records management processes, and other confidential business documentation
  • Compile and summarize business information
  • Plan, prepare and create various routine and complex reports
  • Prepare agendas and correspondence for clients
  • Interfaces with a variety of internal and external customers on both routine or confidential nature and complex or confidential nature
  • Coordinate and monitor administrative projects to ensure timely completion.

  • Performs other duties as required or directed

Who We Are Looking For: You.

  • 2-4+ years of administrative experience in a corporate setting, is preferred
  • Associate's or Bachelor's degree in Business Administration, Office Administration, or a related field, or equivalent administrative experience preferred
  • Strong organizational, time management, and multitasking skills with attention to detail.
  • Ability to manage competing priorities, meet deadlines, and work independently.
  • Demonstrated ability to anticipate business needs, prioritize effectively, and address issues before they arise
  • Exceptional written and verbal communication skills with strong relationship building;
  • Customer service oriented
  • Ability to thrive in a dynamic, fast-paced, and matrixed environment while adapting to changing priorities.
  • Strong Computer Skills: Proficiency in Microsoft Word, Excel, Teams and PowerPoint
  • Willingness to learn, take direction well and work effectively as part of the team.
  • Flexible, adaptable, and maintains a positive attitude.
