About the role

We’re looking for an Administrative Assistant & Office Operations Manager to help our CEO and executive team spend their time effectively and make our office a place where people can do their best work.

You’ll own executive support and day-to-day office operations, from inboxes, calendars and travel to daily lunch, team events and workplace improvements. This is a hands-on role for someone who anticipates needs, exercises good judgment and follows through without constant direction.

What you’ll own
  • Executive support and scheduling. Manage CEO and executive team inboxes and calendars, prioritize requests, coordinate responses and protect time for focused work. Organize meetings, prepare materials and track follow-ups.

  • Travel and logistics. Book flights, hotels and ground transportation, prepare itineraries and handle changes and related expenses.

  • Office operations and hospitality. Run daily lunch and keep the office stocked, welcoming and working well. Manage vendors, maintenance and workplace improvements.

  • Events and office culture. Plan team gatherings, celebrations and offsites. Build thoughtful routines and experiences that help people connect and feel part of the team.

  • Budgets and processes. Track spending across office operations, meals, travel and events. Coordinate invoices and build simple systems that make recurring work reliable as the company grows.

What we’re looking for
  • Experience supporting senior leaders and running operations. You’ve managed busy inboxes, calendars and competing requests, ideally alongside office responsibilities.

  • Strong judgment and discretion. You handle sensitive information carefully, act independently and know when to escalate.

  • Organization and ownership. You anticipate needs, keep track of details and close the loop. You stay composed and reprioritize quickly when plans change.

  • A thoughtful, hands-on approach. You bring warmth to the workplace and care about getting both executive logistics and everyday office details right.

  • Comfort with workplace tools. You use email, calendars and shared documents effectively and create straightforward systems others can use.

  • Personal interest in Superpower’s mission.

What success looks like
  • Leaders have well-managed inboxes and calendars, arrive prepared and spend less time on administration.

  • Travel, daily lunch and office essentials run reliably, with issues resolved promptly.

  • Team events strengthen connection, and workplace improvements address real needs.

  • Spending is well managed, and recurring work runs through clear, dependable processes.

Why Superpower
  • Help the team building a more proactive approach to healthcare do its best work.

  • Work closely with company leaders and see the direct impact of your judgment and execution.

  • Shape the everyday experience of a growing team, with autonomy to make meaningful improvements.
