Provide administrative and office management support to operations, finance, and investment teams. Handle scheduling, filing, CRM updates, expense reports, vendor/IT coordination, event planning, receptionist duties, office upkeep, and meeting preparation. Serve COO/CFO and select investment team members, improve operational processes, and flex to new responsibilities. Onsite M-Th, Fri as needed.
S32 is looking for an Administrative Assistant/Office Manager to support our operations, finance and our investment teams. As an AA for these teams, you're at the heart of your team's business operations and activities and your organizational acumen keeps your team moving forward. You are trusted, move quickly and anticipate the needs of your managers and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. In addition to being exceptionally well organized, you possess the strong business judgment and communication skills needed to interact professionally and accurately with C-level executives, entrepreneurs and founders, limited partners, other S32 support professionals, and other stakeholders. You will be the outward face of S32 to a wide range of people and job functions in the S32 ecosystem.
Responsibilities:
I. Perform an extensive array of administrative tasks, including:
- Scheduling
- Meticulously filing documents and maintain tracking log
- Updating CRM database
- Interfacing with outsourced IT Service Provider
- Processing expense reports
- Planning events and space utilization
- Preparing meeting materials and gathering background information
II. Manage all operational tasks for office, including:
- Take full ownership of physical appearance of office
- Liaise with building manager
- Order/receive supplies and food
- Coordinate deliveries
- Manage inventory of company materials
- Organize lunches for in office meetings
III. Serve as office receptionist; interface and support high level executives, entrepreneurs and clients:
- Manage conference room calendars
- Welcome guests and seat meetings
IV. Flex to new responsibilities as needs and skills match.
V. Build efficiency into existing operations and help define new operational strategies.
VI. Current support group includes: COO/CFO and her team; certain investment team members.
VII. Hours: M-F ~9am - 5pm (M-Th are onsite, Fri as needed)
Qualifications
- BA or BS degree
- 2+ years of experience supporting executive-level management in a corporate environment (e.g. calendar management, travel management, expense reports, vendor management, documentation management, etc.).
- Strong technical and physical organizational skills
- Strong attention to detail
- Strong verbal and online communication skills
- Excellent interpersonal and diplomatic skills
- “Can do” and “start with yes” positive attitude, eager to learn, highly collaborative
- Ability to multi-task and balance priorities while also focusing on bringing projects to completion
- Highest degree of professionalism/ethics/integrity

The US base salary range for this full-time position is $80,000 - $110,000 + bonus + benefits, depending on experience.
Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
The base pay range for this role is $80,000 – $110,000 per year.
