Get ready to meet the incredible team at Environmental Intellect! We’re a remote-first crew of problem-solvers, creators, operators, field experts, software pros, and digital transformation champions working together to bring smarter technology, better processes, and a whole lot of innovation to the Oil & Gas industry.

We’re not your average team, and this is not your average administrative role.

At Ei, great admin support is more than checking boxes, keeping calendars straight, and making sure the virtual filing cabinet does not burst into flames. It’s about creating order out of chaos, making information easier to find, helping team members feel supported, improving processes, and adding a spark of creativity to the way we communicate, train, organize, and connect.

What We’re Looking For

We’re looking for someone who brings a powerful mix of people skills, technology confidence, creative ability, administrative precision, and “I’ve got this” energy.

You’ll thrive in this role if you are:

People-Centric

You interact with team members, managers, candidates, vendors, and internal stakeholders with warmth, respect, professionalism, and follow-through. You understand there is a real person on the other side of every request, form, reminder, follow-up, and spreadsheet.

You balance getting the task done with caring about the experience people have along the way.

 Highly Organized and Detail-Oriented

You keep tasks, documents, deadlines, systems, and recurring workflows organized and easy to access. You are the kind of person who notices when a date is missing, a name is spelled two different ways, a document is floating in the wrong folder, or a tracker has gone rogue.

You catch inconsistencies before they create confusion, rework, or a “wait, who was supposed to handle this?” moment.

 Tech-Comfortable and Quick to Learn

You do not need to know every tool on day one. We are not looking for a walking software encyclopedia.

We are looking for someone who has strong tech aptitude, is not intimidated by new systems, asks good questions, and can become confident quickly. You should have a strong foundation in Google Workspace and spreadsheets, plus the curiosity and persistence to learn tools like Canva, LMS platforms, HR systems, project management tools, AI-enabled tools, and whatever new platform decides to enter the chat next.

 Creative and Visually Aware

You can create clean, polished, and engaging visual content — or you are excited to learn how. You understand that internal content should not only be accurate, but also clear, useful, and easy on the eyes.

Whether it is a presentation, job aid, team recognition graphic, LMS resource, internal communication, or process guide, you can help turn “here’s a pile of information” into “ah, now this makes sense.”

 A Self-Starter

Once trained, you can manage assigned responsibilities independently with minimal hand-holding. You know when to move forward, when to ask clarifying questions, when to escalate, and when to solve a problem directly.

You do not wait around for someone to tell you every next step. You look ahead, take ownership, and help move things forward.

 Great at Context Switching

This role touches PeopleOps, BizOps, LMS support, contracts, timekeeping, recruiting, safety documentation, content creation, internal communications, and special projects.

In other words, variety is part of the deal.

You understand that true multitasking is a myth, but intentional focus-shifting is a superpower. You can move between priorities, return to interrupted work, and avoid letting important details fall into the abyss.

 Comfortable Working Remotely

You know how to communicate clearly, keep stakeholders informed, manage your time, stay visible, and produce excellent work without someone looking over your shoulder.

Remote work requires ownership, clarity, responsiveness, and follow-through — and you bring all of that with you.

 Needed Skills & Experience

If you are ready to bring your A-game, your attention to detail, and your “I can learn that” mindset, we want to hear from you.

Here is what we are looking for:

  • Administrative, coordinator, PeopleOps, HR, operations, recruiting, executive support, or similar experience
  • Strong aptitude for learning new technology, systems, workflows, and processes
  • Solid working knowledge of Google Workspace, especially Gmail, Drive, Docs, Sheets, Calendar, and Forms
  • Strong spreadsheet comfort, including organizing data, filtering, sorting, using formulas, maintaining trackers, and identifying gaps or inconsistencies
  • Ability or willingness to create polished visual content, presentations, internal communications, guides, or training materials
  • Comfort learning tools such as Canva, Google Slides, PowerPoint, LMS platforms, HRIS systems, project management tools, and AI-enabled tools
  • Excellent written and verbal communication skills
  • Strong attention to detail, accuracy, confidentiality, and follow-through
  • Ability to manage multiple projects, deadlines, requests, and recurring workflows at the same time
  • Ability to work independently in a remote environment while keeping stakeholders informed
  • Comfort supporting cross-functional teams such as PeopleOps, BizOps, Safety, Operations, Finance, leadership, and hiring managers
 Bonus Points If You Have

These are not required, but they may give you bonus points and a gold star:

  • Experience with Canva, LMS platforms, HRIS systems, applicant tracking systems, Notion, Asana, Slack, or similar tools
  • Experience supporting onboarding, offboarding, recruiting coordination, employee engagement, or internal communications
  • Experience organizing contracts, policies, SOPs, safety documents, or business-critical records
  • A knack for turning messy information into clean, useful, visually organized resources
  • A love for checklists, trackers, naming conventions, templates, and making things easier for everyone else
  • Based in the Central Time Zone, or able to consistently work Central Time Zone hours
 Must Haves

To succeed in this role, you will need:

  • Strong administrative experience and a demonstrated ability to manage details accurately
  • Solid Google Workspace and spreadsheet skills
  • Strong aptitude for learning new software, systems, and technology tools
  • Ability or willingness to create polished written and visual content
  • Remote work experience or proven ability to work independently with strong communication
  • High level of confidentiality and good judgment
  • Strong learning agility, curiosity, and follow-through
  • Ability to manage multiple priorities without constant reminders
  • A people-first mindset and a team-first attitude
 Benefits

We believe in taking care of our team members and supporting a healthy life-work balance. Here is what we offer:

  • Comprehensive health, vision, and dental insurance
  • PTO and holidays
  • 401(k) plan with company matching
  • Cell phone/internet stipend
  • Remote-first work environment
  • Opportunities to learn, grow, create, and support meaningful work across the company
 Why You’ll Love It Here

At Ei, you’ll join a curious, creative, remote-first team that values ownership, teamwork, and people who make work better for everyone around them. If you love variety, enjoy supporting others, and can bring order, polish, and follow-through to the behind-the-scenes details, we’d love to meet you.
