JOB DESCRIPTION

The Administrative Services Coordinator is experienced in a professional services environment and is responsible for a wide variety of administrative duties supporting the San Francisco team of attorneys and staff.  The ideal candidate has a high level of professionalism, is detail oriented, process-driven, and has excellent communication, interpersonal, and follow-up skills and is committed to providing high-quality support services to internal and external stakeholders.  The candidate should have a “can-do” attitude, take initiative, with the ability to multi-task and prioritize. The position will report to the Regional Administrative Services Manager and Regional Director of Administration and will work closely with the local team as well as members from other offices across the firm.

Essential Duties:

  • Serve as the primary on-site operational contact, ensuring continuity across all departments

  • Independently manage daily office operations, anticipating needs and resolving issues promptly

  • Maintain a consistent, professional, and client-ready office environment always

  • Prepare expense reports for various departments

  • Reception desk coverage for Guest Services

  • Provide basic troubleshooting support for office and conference room technology

  • Coordinate with IT to ensure timely resolution of technical issues and maintain operational readiness

  • Assist with setup and maintenance of workstations, conference room technology, and related equipment

  • Coordinate and oversee conference room operations, including scheduling, setup, and execution of meetings, depositions, and events

  • Partner with Guest Services to ensure high-quality delivery of food & beverage, room setup, and event logistics

  • Provide hands-on support for internal and client-facing events, ensuring alignment with Firm standards

  • Partner with Guest Services to ensure a seamless and elevated client and visitor experience

  • Serve as a point of escalation for service-related issues requiring operational oversight

  • Support coordination of visiting attorneys and high-priority client needs as required

  • Liaise with building management and vendors to address maintenance, facilities, and service-related issues

  • Act as a liaison between Conference Services, Guest Services, IT, Facilities, and Administrative teams

  • Ensure alignment and communication across departments to support seamless service delivery

  • Support regional and firmwide initiatives, projects, and leadership requests with minimal direction

  • Provide support to the Silicon Valley (Palo Alto) office, including event coordination and operational coverage as needed

  • Travel between offices as required to support business needs

  Skills Needed to be Successful:

  • Bachelor’s degree preferred

  • Minimum of two years of administrative experience preferred

  • Proficiency in Microsoft Office Suite

  • Ability to communicate effectively within the team

  • Flexible and willingness to adapt

  • Excellent organizational, problem-solving, and communication skills.

  • Excellent communication and interpersonal skills.

  • Ability to identify and provide suggested solutions for office or administrative service-related issues.

The salary range in San Francisco, CA for this position is $65,000 - $80,000 and represents the Firm's good faith minimum and maximum range for this role at this time of posting. The actual compensation offered to a candidate will be dependent on a variety of factors including, but not limited to, the candidate's experience, qualifications, and location. This range is specific to our San Francisco office and may not be applicable to other location.
