Position Summary

The Administrative / Virtual Assistant provides professional administrative, organizational, and operational support to executives, managers, teams, or clients. This position is responsible for managing schedules, communications, documents, data, meetings, and day-to-day administrative tasks while helping ensure that business operations run efficiently.

The ideal candidate is organized, dependable, detail-oriented, proactive, and comfortable working independently in a remote environment. Strong communication skills, time management, computer proficiency, and the ability to handle confidential information are essential.

Key Responsibilities

  • Manage calendars, appointments, meetings, and schedules.
  • Coordinate meetings, conference calls, and virtual appointments.
  • Monitor and organize emails, messages, and other correspondence.
  • Draft, format, proofread, and distribute emails, letters, reports, presentations, and other documents.
  • Maintain organized electronic files, folders, records, and databases.
  • Enter, update, and maintain accurate information in spreadsheets and company systems.
  • Prepare spreadsheets, reports, presentations, and administrative documents.
  • Conduct internet research and compile information as requested.
  • Make travel arrangements, including flights, hotels, transportation, and itineraries.
  • Schedule appointments and coordinate with clients, vendors, employees, and business partners.
  • Answer, screen, and route phone calls or virtual communications when required.
  • Follow up on outstanding tasks, requests, appointments, and deadlines.
  • Assist with invoicing, expense tracking, purchase orders, and basic bookkeeping tasks when applicable.
  • Maintain contact lists and customer or client records.
  • Assist with onboarding, administrative paperwork, and employee documentation.
  • Coordinate virtual meetings and ensure necessary materials are prepared in advance.
  • Manage confidential and sensitive business information appropriately.
  • Monitor task lists and prioritize assignments according to deadlines and business needs.
  • Assist managers and executives with special projects and administrative initiatives.
  • Provide general customer service and respond to routine inquiries professionally.
  • Coordinate with internal departments and external contacts to ensure tasks are completed.
  • Identify opportunities to improve administrative processes and office efficiency.
  • Perform other administrative duties as assigned.

Virtual Assistant Responsibilities

When working remotely, the Virtual Assistant may also be responsible for:

  • Managing remote calendars and online scheduling platforms.
  • Coordinating virtual meetings through Zoom, Microsoft Teams, or Google Meet.
  • Managing shared cloud files using Google Drive, OneDrive, Dropbox, or similar platforms.
  • Updating project-management systems and task boards.
  • Communicating with clients and team members through email, Slack, Microsoft Teams, or other communication platforms.
  • Maintaining digital records and ensuring files are properly named and organized.
  • Performing online research and data collection.
  • Assisting with social media scheduling and basic content organization when required.
  • Supporting online customer service and administrative operations.
  • Tracking deadlines, deliverables, and follow-up items.
  • Working independently and maintaining productivity without direct supervision.

Required Qualifications

  • High school diploma or equivalent; additional education or training preferred.
  • Previous administrative, clerical, office assistant, executive assistant, customer service, or virtual assistant experience preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work independently with minimal supervision.
