Primary Purpose:
Provide administrative, operational, and financial support to Leasing and Asset Management team through the coordination of payments, vendor setup & transactions, reporting, and departmental documentation. This role prepares and processes checks and wire transfers, obtains required approvals, ensures accurate account coding, maintains records, and supports timely payment processing. The position supports in-store business, leasing, licensing, and seasonal housing programs through data management, communication, issue resolution, and coordination with internal and external business partners, including Finance, Legal, Store Operations, landlords and vendors. Through proactive tracking, follow-up, and administrative support, this role helps ensure the efficient execution of departmental financial and operational processes and significant bill-back recoveries from tenants and landlords while supporting day-to-day business activities.
Our hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core office locations include Quincy, MA.
Applicants must be currently authorized to work in the United States on a full-time basis.
Duties and Responsibilities:
  • Oversee the processing of invoices, check requests, wire transfers, and other payment transactions, ensuring required approvals, accurate coding, and timely submission to Finance.
  • Maintain and update in-store tenant, seasonal housing, landlord, vendor, and lease-related records, databases, trackers, and departmental files.
  • Assist with the administration of in-store tenant and seasonal housing programs by coordinating documentation, tracking requests, and supporting communications with internal and external stakeholders.
  • Prepare recurring reports, correspondence, authorization letters, memos, and other business documents to support department operations.
  • Support responses to operational and direction inquiries by researching information, preparing documentation, and facilitating follow-up with appropriate stakeholders.
  • Support tenant installations, relocations, removals, renewals, and seasonal housing activities by coordinating information, tracking progress, and maintaining required documentation.
  • Process landlord utility reconciliation transactions by coordinating deposits, preparing payment requests, obtaining required approvals, and submitting supporting documentation to Finance to ensure accurate allocation and timely processing.
  • Maintain contracts, correspondence, and other business records in accordance with company policies and retention requirements.
  • Provide administrative and operational support for departmental projects and initiatives, including tracking deliverables, maintaining documentation, and ensuring timely follow-up on outstanding items.

Qualifications:
  • Associate's degree or related experience

IL/MA/MD/NY Salary Range: $23.50 - $35.25
Actual compensation offered to a candidate may vary based on their unique qualifications and experience, internal equity, and market conditions. Final compensation decisions will be made in accordance with company policies and applicable laws.
