JOB OVERVIEW

The Marketing Associate plays a key role in supporting the company’s growth and strategic initiatives. The primary focus of this role is to manage and contribute to the development of high-quality proposal responses for Requests for Proposals/Quotation/Information (RFP/Q/Is), ensuring alignment with company messaging and client requirements. In addition, the role supports competitive intelligence efforts and helps maintain and grow relationships with buyer cooperatives.

JOB LOCATION AND REPORTING TO

This position will be based in either our San Francisco or New York City office, or for the right candidate as a remote position.  The Marketing Associate reports to the Senior Director, Marketing and works closely with Commercial team, Technical Development Team (TDM), and other various departments across the organization. 

KEY RESPONSIBILITIES

RFP Response Coordination and Development

  • Lead and coordinate the preparation of RFP responses, collaborating with internal stakeholders to gather necessary content and approvals.
    • Draft, edit, and format proposal documents to ensure clarity, consistency, and compliance with submission requirements.
    • Ensure certificates of insurance, contractor licenses, DIR registrations, and Mitsui financial info is all up to date on responses.
  • Maintain and update a centralized repository of RFP content, templates, and past submissions.  
  • Track RFP opportunities and manage timelines to ensure timely and complete submissions.
  • Serve as a point of contact for clients regarding RFP inquiries by attending Pre-bid meetings and submitting clarifying questions to the RFPs

Competitive Intelligence & FOIA

  • Work to find relevant and useful intel for the Commercial team to leverage in putting together more competitive proposals.
  • Submit and manage Freedom of Information Act (FOIA) requests to obtain competitive data and insights.
  • Organize, track, and analyze FOIA responses/research to identify trends, pricing benchmarks, and strategic opportunities.
  • Share relevant findings with internal teams to inform business development and positioning strategies.

Buyer-Cooperative Partnership Support

  • Assist in managing relationships with key buyer cooperatives and purchasing consortiums.
  • Request and manage the updated members' lists regularly
  • Set up sales training sessions periodically with team  
  • Support the creation of marketing materials and presentations tailored to cooperative audiences and align co-marketing activities/events.
  • Monitor cooperative engagement activities and help identify opportunities for deeper collaboration.
  • Support contract finalization for cooperative programs.
  • Forward any incoming inquiries to the appropriate sales managers and assist with initial conversations

Operational & Misc.

  • Manage subscriptions and platform services that support RFP Response (GovWin, BidPrime, Inventive.ai, etc.)
  • Responsible for sharing information via SharePoint to the broader organization
  • Misc. marketing team support, as needed

QUALIFICATIONS

  • Strong written communication and editing skills.
  • Excellent organizational and project management abilities.
  • Attention to detail and ability to manage multiple deadlines.
  • Familiarity with public procurement processes and FOIA practices.
  • Collaborative mindset with the ability to work across departments.
  • Proficiency in Microsoft Word and other Office applications is required, especially managing large documents with citations
  • Proficiency or experience in Adobe InDesign is not required but may be a plus.
  • Extremely proficient Excel, Word and PowerPoint skills.
  • Desire to work in a growing company in the renewable energy field.

PHYSICAL DEMANDS

This position is primarily sedentary in nature and requires prolonged periods of sitting at a desk in front of a computer. There may also be opportunities to travel to support Commercial or Corporate events (~5%).  The Marketing Associate should be comfortable traveling to various sites including tradeshows, or construction sites and being around heavy equipment.
