About the Role

TeamFicient is seeking an organized, proactive Bilingual Executive & Administrative Assistant to support the founder of an expanding physical therapy practice based in Colorado. This role is ideal for an administrative professional who excels at streamlining client communications, managing complex schedules, and offering high-touch executive support. You will serve as the primary point of contact across calls, messages, and emails while managing both professional operational logistics and personal executive support tasks.

Core Responsibilities

Client Communications & Front-Desk Support

  • Manage primary business communication channels, handling inbound emails, calls, and inquiries promptly in English and Spanish.

  • Assist in setting up and operating dedicated VoIP lines (Zoom Phone) to handle client text messages and voice calls separately from personal lines.

  • Communicate with diverse client groups, applying customized pricing structures and regional rates (including U.S. low-income programs and international clients).

Calendar & Administrative Operations

  • Coordinate client appointments, follow-ups, and calendar schedules using Google Calendar and integrated web platforms.

  • Assist in setting up daily workflows and maintaining organized records within web-backed operational tools.

  • Collaborate with internal technical leads to implement streamlined intake and workflow automations.

Executive & Personal Support

  • Provide high-level support for executive personal scheduling, including flight bookings, personal medical appointments, and family extracurricular itineraries.

  • Execute light social media management and professional networking support (e.g., maintaining LinkedIn profile updates and client engagement).

Candidate Qualifications

Must-Haves

  • 2+ years of professional experience in an Executive Assistant, Administrative Assistant, or Virtual Assistant role.

  • Native or near-native bilingual fluency in English and Spanish (written and verbal).

  • Hands-on experience with Google Calendar, Zoom Phone (or similar VoIP systems), and web-based scheduling platforms.

  • Strong organizational skills with proven ability to handle both confidential business logistics and personal administrative tasks.

  • Comfortable working during Mountain Standard Time (MST) business hours in a dedicated home office.

Good to Haves

  • Prior experience supporting allied health practices, wellness clinics, or physical therapy businesses.

  • Basic experience managing LinkedIn profiles and business social media presence.

  • Familiarity with Squarespace booking tools or basic client CRM software.

  • Experience collaborating with IT/Automation teams to implement workflow optimizations.
