Remote Personal Injury Legal Assistant – International

We are seeking a highly organized, detail-oriented, and experienced Remote Legal Assistant to join our growing team. This position is open exclusively to candidates located outside of the United States.

Previous personal injury law firm experience is required for this position, as the ideal candidate will have a strong understanding of personal injury case workflows, medical records, insurance claims, and client communication.

Fluency in both English and Spanish is also required.

Position Overview

The Remote Legal Assistant will provide administrative and case support to attorneys, paralegals, and case managers handling personal injury matters.

The ideal candidate will have hands-on experience working in a personal injury law firm and be familiar with the day-to-day processes involved in managing personal injury cases. This role requires excellent organizational skills, strong communication abilities, attention to detail, and the ability to manage multiple priorities in a fast-paced remote environment.

The successful candidate will be proactive, dependable, resourceful, and comfortable working independently while collaborating with legal professionals across multiple U.S.-based personal injury law firms.

Key Responsibilities
Personal Injury Case Support
  • Assist attorneys, paralegals, and case managers with daily personal injury case administration.

  • Maintain accurate and organized electronic case files.

  • Review, organize, and upload client records, medical records, billing statements, police reports, and other case-related documentation.

  • Track case deadlines, treatment updates, records requests, and outstanding documentation.

  • Prepare case summaries, chronologies, and supporting documentation.

  • Assist with pre-litigation case management and case progression.

  • Ensure case information is accurately documented and updated in the firm’s case management system.

Administrative Support
  • Manage calendars, appointments, deadlines, and task assignments.

  • Schedule client meetings, consultations, medical appointments, and other case-related appointments.

  • Monitor email correspondence and ensure timely follow-up.

  • Coordinate communication between clients, attorneys, case managers, medical providers, and insurance representatives.

  • Provide administrative support to attorneys and legal staff.

Medical Records & Provider Coordination
  • Request and follow up on medical records and billing from healthcare providers and medical facilities.

  • Request police reports, insurance information, and other supporting documentation.

  • Track outstanding records and billing requests.

  • Communicate with medical providers regarding missing or incomplete documentation.

  • Review records and documentation for accuracy and completeness.

  • Maintain organized records within the case management system.

Insurance & Claims Support
  • Assist with gathering and organizing insurance and claim information.

  • Communicate with insurance companies and adjusters as directed by the legal team.

  • Track claim-related correspondence and documentation.

  • Assist Case Managers and attorneys with documentation needed for settlement and demand preparation.

Client Communication
  • Communicate professionally with personal injury clients in both English and Spanish.

  • Gather case information and provide updates as directed by the legal team.

  • Answer routine client questions and escalate issues when necessary.

  • Build positive relationships with clients through timely, professional, and compassionate communication.

  • Maintain strict confidentiality when handling client and case information.

Document Management
  • Draft, proofread, edit, and format legal correspondence and case-related documents.

  • Prepare letters, forms, requests, and other case documentation.

  • Maintain accurate and organized electronic case files.

  • Perform quality control reviews to ensure documents and case information are complete and accurate.

  • Previous experience working in a personal injury law firm is required.

  • Minimum of one year of experience as a Legal Assistant or in a related personal injury legal support role.

  • Fluent in both English and Spanish, written and verbal.

  • Familiarity with personal injury case management and pre-litigation processes.

  • Experience working with medical records, medical billing, insurance claims, or provider coordination.

  • Strong organizational and multitasking skills.

Preferred Qualifications
  • Experience as a Personal Injury Legal Assistant, Case Manager, Intake Specialist, Records Specialist, or Paralegal.

  • Experience supporting personal injury attorneys and case managers.

  • Familiarity with personal injury demands, settlements, medical records, billing, and insurance claims.

  • Experience using legal case management software such as Filevine, CasePeer, Litify, Clio, Needles, or similar platforms.

  • Proficiency with Microsoft Office, Google Workspace, and cloud-based collaboration tools.
