WHO WE NEED:
The Billing Specialist is responsible for managing the billing process to ensure accurate and timely invoicing of customers. This role involves preparing and issuing invoices, verifying billing data, resolving discrepancies, and working closely with internal teams and clients to ensure proper account reconciliation. The ideal candidate is detail-oriented, organized, and has a strong understanding of billing procedures, accounting principles, and customer service.
Qualifications:
- 3+ years of experience within accounting and/or Finance
- Experience with handling complex billing questions on the phone and over email
- Strong attention to detail - Working in multiple systems to accurately bill renewals and update customer information(Salesforce and NetSuite experience, while not required, is a plus)
- Ability to work on a team with shared responsibilities
- Problem solver with the ability to research and ask questions
- Customer Service mentality
- Good verbal and written communicator that enjoys connecting with HCSS customers ● Prior experience demonstrating customer service and teamwork
- Detail-oriented with the ability to manage and prioritize many open inquiries and issues concurrently
- Technical aptitude to learn and use department tools
Role Responsibilities:
- Respond to internal and external billing inquiries via phone and email, ensuring timely and professional customer service
- Investigate and resolve billing issues; update customer subscriptions and assets as needed
- Issue corrected invoices, credit memos, and rebills when necessary
- Coordinate with Sales and Customer Success teams to resolve billing discrepancies
- Review and process contract renewal quotes for accuracy; send via DocuSign
- Compare subscriptions across systems to ensure correct billing and renewals
- Follow up with customers on undelivered renewals and update contact info
- Generate invoices for mid-contract changes, add-ons, or non-standard billing cycles
- Create monthly invoices for GPS, SaaS, and Cloud-based product usage
