The HR Coordinator supports the Manager Staff Administration (MSA) in all administrative functions, assists team members in a friendly and helpful manner, always providing accurate and most up to date information.

Duties and responsibilities:
  • Keep Crew Personnel System (CPS) and A-Pass updated.
  • Ensure that all sign ons receive accurate information of their meetings for the embarkation day and collect all necessary paperwork.
  • Prepare information and documents needed for team members to be able to join their next assigned vessel.
  • Maintain the Crew Notice Board updated with recent and accurate information.
  • Send the pre-advise sign off and sign on lists to shipboard management on a timely manner.
  •  Prepare seafarer’s manual, agreement and all other sign on documents. 
  • Collect and prepare sign off documents and assist MSA in the sign off orientation.
  • Collect, forward and follow up on all movement requests received from F&B and HSKP team members.
  • Prepare reference letter requests and coordinate with the Hotel Admin Coordinator.
  • Respond to team member’s concern in a considerate, professional and positive manner by showing empathy and listening actively.
  •  Help communicate new travel, immigration and customs procedures to all team members.
  • Responsible to make sure all information and/or forms and any other literature printed by the Staff Admin office is current, correct and professional.
  • Manage the ship’s cabin accommodation and manning list based on company regulations, maintain accuracy and control, keep evaluation dates updated.
  • Maintain a missing employee file list and coordinate the same to the office or to the team member’s last ship in case of non-receipt after a considerable period of time
Requirements:
  • Degree/Diploma (or foreign equivalent) from an accredited university or college in Human Resource
  • Min. 1-2 years’ experience as HR Coordinator.
  • Excellent English skills in both writing and speech
  • Service and detail oriented with a strong guest focus
  • Strong focus for employee relations and the ability to support crew members with best business practices according to company’s policy
  • Excellent management, organizational and communication skills
  • Ability to work under pressure with minimal supervisor
  • Age: min. 21 years old
