The company is known for its client-first approach, personalized support, and strong case results. Its legal team works closely with clients throughout the entire process, helping coordinate documentation, medical treatment, insurance communication, and case development.

Role Overview

We are seeking detail-oriented and proactive Case Manager Assistants to support case managers and supervising attorneys with day-to-day case operations.

This role is ideal for someone highly organized, responsive, and comfortable handling legal documentation, client communication, appointment coordination, insurance-related follow-ups, and administrative case support in a fast-paced environment.

Key Responsibilities

Investigation Assistance

  • Support case managers in gathering and organizing investigation documents, including SR1, SR19, EAMS checks, witness statements, and accident scene photos.
  • Obtain Declaration Pages from first-party insurance providers.
  • Request policy limit searches to obtain third-party insurance policy limits.

Client Appointment Coordination

  • Assist with scheduling medical appointments for clients and follow up to ensure evaluations occur on time.
  • Confirm that clients have transportation to all appointments.
  • Keep case managers informed of scheduled treatment and appointment updates.

Traffic Collision Reports

  • Order and monitor the status of Traffic Collision Reports.
  • Ensure the team receives accurate and timely accident information.

Correspondence Drafting

  • Draft and send letters and miscellaneous correspondence related to case development and client communication.
  • Confirm correspondence delivery and track associated costs.

Bill Verification

  • Verify relevant costs, including statutory liens, medical bills, and pre-settlement funding obligations.
  • Follow up through fax, email, and phone to obtain bills, records, and confirmations in a timely manner.

Team Communication

  • Maintain clear communication with supervising attorneys and case managers.
  • Address client texts and calls when the case manager is unavailable.
  • Escalate sensitive matters to the supervising attorney when needed.
  • Proactively ask for guidance or training when unsure about policies or procedures.
Requirements
  • Advanced English proficiency, both written and verbal.
  • Previous experience in administrative support, legal assistance, case management, customer service, or operations.
  • Strong attention to detail and ability to manage multiple tasks at once.
  • Excellent organization, follow-up, and documentation skills.
  • Strong written communication skills for drafting correspondence.
  • Ability to work independently in a remote environment.
  • Comfortable making follow-ups by phone, email, and fax.
  • Availability to work 8 hours per day, typically 9:00 AM – 5:00 PM PST.
Nice to Have
  • Experience in personal injury law or legal case management.
  • Familiarity with U.S. insurance, medical billing, or legal documentation.
  • Experience supporting attorneys, case managers, or claims teams.
  • Knowledge of Traffic Collision Reports, medical liens, or insurance policy documentation.
