The Chief of Staff & EA to the President & COO manages initiatives, oversees governance, coordinates travel, and maintains complex schedules, ensuring timely communication and project execution.

Day-To-Day Responsibilities:
- Initiative Management and Cross-Functional Coordination
- Maintain initiatives across all functions/go-to-market for Facet
- Ensure programs are delivered on time by monitoring progress, flagging delays, and facilitating rapid issue resolution
- Stay one step ahead of the President & COO on all initiatives by anticipating needs and closing gaps by engaging with relevant stakeholders
- Program Management
- Oversee governance and prepare agendas for weekly initiative meetings ensuring alignment with business objectives and strategic goals
- Facilitate effective decision-making by coordinating the flow of information and ensuring timely communication between the President & COO and her leadership team
- Content Management
- Develop, edit, format, and proofread presentation decks
- Off-site and Event Planning
- Plan offsite and event programming for Facet including the development of agenda content and programming
- Oversee in-person event execution
- Organize various company-wide virtual events
- Calendar/Meeting Management
- Manage the President & COO’s personal and business calendars ensuring all meetings, events, and commitments are scheduled and aligned with strategic priorities
- Manage meetings across the President & COO’s leadership team and broader organization (ex. monthly All Team meetings)
- Manage team record-keeping and PTO requests for President & COO’s organization
- Travel Coordination & Expense Management
- Coordinate travel arrangements including flights, accommodations, and itineraries for in-person events and engagements
- Submit expense reports and manage department expenses
Requirements
- Bachelor's degree preferred, or equivalent experience.
- Minimum of 8-10 years of experience supporting C-level executives (COO/Operational executive preferred) in a fast-paced, high-growth environment, preferably within the fintech or technology sector.
- Travel required for offsites as needed (1-2 per month)
- Availability required during all business hours and as needed outside of standard hours.
- HIGHLY PREFERRED local to Fort Lauderdale/Miami
- Proven experience in managing complex business and personal calendars.
- Demonstrated ability to take accurate and comprehensive meeting notes and minutes.
- Exceptional organizational skills with a superior ability to manage multiple priorities, strong time management, meticulous attention to detail, and a highly organized approach to tasks and information.
- Strong project coordination skills, with experience managing timelines and deliverables.
- Outstanding written and verbal communication skills, with the ability to articulate information clearly, concisely, and professionally to diverse audiences.
- Advanced proficiency in Microsoft G-Suite (Sheets, Docs, Slides, etc) and experience with project management software (e.g., Salesforce, Gong). Ability to quickly learn and adapt to new technologies and systems.
- Demonstrated ability to handle highly sensitive and confidential information with the utmost discretion and integrity.
- Strong analytical and critical thinking skills with the ability to identify problems, propose solutions, and make sound decisions independently when appropriate.
- Ability to anticipate needs, prioritize effectively, and work independently with minimal supervision
- High emotional intelligence with the ability to build strong relationships, navigate diverse personalities, and maintain composure under pressure.
- A solid understanding of business operations and the financial services industry is a plus.
- Experience in a growth-stage company or a similar fast-paced, evolving environment preferred
Benefits
- $120,000 - $160,000 base salary + bonus + equity determined by the experience, knowledge, skills, and abilities of the applicant - Please note, our salary ranges are based on current market data.
