Within Zeta, the Zeta Creative Studio is a dynamic, collaborative team of designers, storytellers, and strategists dedicated to pushing creative boundaries and building powerful customer connections. We combine data, technology, and human-centered creativity to deliver impactful visual narratives across all digital channels.
Our team thrives at the intersection of creativity, technology, and operational excellence. We are looking for a Creative Operations Manager to build, optimize, and scale the operational foundation that empowers our creative team to deliver impactful work with clarity, efficiency, and consistency. This role is essential in ensuring Zeta’s creative engine runs smoothly — and can grow. Depending on your location, this role could be hybrid (NYC, Nashville, LA, San Francisco, Miami) or remote.
What You’ll Do
Own & Scale Creative Operations
- Own the end-to-end creative workflow, from intake and prioritization through delivery and post-project analysis
- Design, implement, and continuously optimize creative processes that support high-volume CRM and integrated creative production
- Establish clear intake, prioritization, and planning frameworks that balance business urgency, creative quality, and team capacity
Lead the Creative Operating System
- Own the Creative Studio’s operating system, with Asana as the primary workflow platform — including workflow architecture, governance, dashboards, reporting, and adoption
- Integrate and collaborate across additional tools and systems as needed, including Jira, Basecamp, and shared operational platforms
- Build and maintain documentation including SOPs, workflow maps, operating guidelines, and reference materials
Partner Across Teams (Agency-Style)
- Act as a strategic partner to Creative Directors, Strategy, Analytics, DataCloud, and Marketing teams to align priorities, streamline handoffs, and improve delivery efficiency
- Manage creative dependencies and timelines across cross-functional initiatives, particularly CRM and lifecycle programs
- Serve as a trusted operational voice in planning conversations, helping teams scope work, set realistic timelines, and mitigate risk
Resource Management & Reporting
- Own resourcing, capacity planning, and workload balancing across the Creative Studio
- Build and maintain reporting dashboards that provide visibility into utilization, delivery health, volume, turnaround time, and operational KPIs
- Use data and insights to proactively identify bottlenecks, recommend solutions, and inform leadership decision-making
Quality & Continuous Improvement
- Establish operational QA checkpoints to ensure high standards of execution and consistency
- Identify workflow friction points and lead process improvements that reduce manual effort and improve speed to market
People Leadership
- Manage and mentor two direct reports, developing a high-performing Creative Operations function
- Set clear expectations, provide coaching, and create growth paths for operational talent within the studio
- Foster a collaborative, service-oriented operations culture that supports creative excellence
Studio Leadership & Planning
- Play an active role in Creative Studio leadership rituals, including quarterly business reviews, planning cycles, and cross-team alignment initiatives
- Contribute to long-term operational strategy as the Creative Studio continues to scale
What You’ll Bring
- Bachelor’s degree in Operations, Project Management, Communications, Creative Production, or a related field
- 4–6+ years of Creative Operations or Project Management experience within a creative agency or in‑house brand/marketing team
- Hands‑on expertise with Asana as a primary project management tool (required)
- Experience with Jira, Basecamp, and other workflow or issue‑tracking systems
- Working understanding of Figma and Adobe Creative Cloud, with the ability to collaborate effectively with design teams
- Comfort using AI‑assisted tools to streamline workflows, enhance creative output, and support operational excellence.
- Familiarity with AI‑powered productivity or creative tools, with a willingness to learn and adopt new capabilities as they evolve.
- An openness to integrating AI into daily workflows to improve draft creation, research, task management, or operational reporting.
- Ability to identify opportunities where AI can improve speed, clarity, or efficiency across creative production pipelines.
- Experience leveraging AI‑powered tools (Copilot, ChatGPT, etc.) to support creative or operational workflows.
- Strong knowledge of creative workflows across digital, CRM, and integrated creative production
- Experience managing people, developing talent, and fostering team collaboration
- Exceptional communication, organization, and stakeholder management skills
- Ability to turn ambiguity into structure and build operational systems from the ground up
- A proactive, systems‑minded operator who thrives in fast‑paced environments and enjoys building processes that scale
- Comfort navigating ambiguity and translating it into structure, clarity, and action

SALARY RANGE
The salary range for this role is $80,000 - $110,000, depending on location and experience.
