The Customer Service Representative (CSR) is responsible for providing professional, timely, and helpful support to customers through phone, email, chat, and other communication channels. This position serves as a primary point of contact for customers, resolves questions and concerns, processes requests, and ensures a positive customer experience.

The ideal candidate is patient, friendly, dependable, detail-oriented, and able to communicate effectively while handling multiple tasks in a fast-paced environment.

Key Responsibilities

  • Respond to customer inquiries by phone, email, chat, and other communication channels.
  • Provide accurate information regarding products, services, orders, accounts, policies, and procedures.
  • Listen carefully to customer concerns and determine the appropriate solution.
  • Resolve complaints and service issues professionally and efficiently.
  • Process orders, returns, exchanges, refunds, payments, account updates, and other customer requests as applicable.
  • Research customer accounts and review order or transaction information.
  • Document customer interactions, issues, resolutions, and follow-up activities in the company's CRM or customer service system.
  • Escalate complex, sensitive, or unresolved issues to the appropriate supervisor or department.
  • Follow up with customers to ensure issues have been resolved and expectations have been met.
  • Maintain a professional, courteous, and positive attitude during all customer interactions.
  • Meet established customer service standards, productivity goals, response-time requirements, and quality expectations.
  • Maintain knowledge of company products, services, policies, procedures, promotions, and systems.
  • Identify recurring customer concerns and communicate trends or potential problems to management.
  • Work collaboratively with sales, operations, billing, technical support, shipping, and other departments to resolve customer issues.
  • Protect confidential customer and company information.
  • Follow company policies, security procedures, and applicable regulatory requirements.
  • Perform additional administrative and customer-support duties as assigned.

Required Qualifications

  • High school diploma or equivalent preferred.
  • Previous customer service, call center, retail, hospitality, administrative, or related experience preferred.
  • Strong verbal and written communication skills.
  • Excellent listening and problem-solving abilities.
  • Professional and courteous telephone and email etiquette.
  • Strong attention to detail and accuracy.
  • Ability to remain calm and professional when dealing with difficult or upset customers.
  • Ability to multitask and prioritize work in a fast-paced environment.
  • Basic computer proficiency and the ability to learn new software and systems.
  • Ability to work independently while also functioning effectively as part of a team.
  • Reliable attendance and punctuality.

Preferred Qualifications

  • Experience using CRM, ticketing, call-center, or customer relationship management systems.
  • Experience with Microsoft Office, Google Workspace, or similar productivity tools.
  • Previous experience handling high-volume customer inquiries.
  • Experience processing orders, payments, returns, refunds, or account changes.
  • Bilingual or multilingual communication skills, depending on the organization's customer base.
  • Experience working with performance metrics such as customer satisfaction, first-call resolution, average handle time, response time, or quality scores.
