Events Operations Coordinator

As an Events Operations Coordinator for Literati, your role is to help scale our national conference and event operations while ensuring a consistent, professional, and engaging brand experience across every touchpoint.

In this role, you will primarily support conference planning, logistics, and operational infrastructure while partnering closely with Sales, Marketing, Creative, and Operations teams to coordinate event assets, inventory, and post-event follow-up. You’ll help build scalable systems and repeatable processes that support both brand growth and revenue generation.

This role is based in the greater Chicagoland area (Chicago or surrounding suburbs) and requires occasional travel to our Elgin office (approximately 3–4 times per year) and national conferences (approximately 3–4 trips per year), which may include evenings and weekends.

The salary band for this role is $50,000–$60,000 annually. This position is classified as exempt and is not eligible for overtime pay.

RESPONSIBILITIES

Conference Operations & Execution

  • Own conference calendar management, registrations, exhibitor deadlines, logistics, and booth execution

  • Coordinate conference materials, sponsorship deliverables, staffing logistics, shipping, and travel communication

  • Partner with Operations to ensure conference assets and materials are prepared, shipped, and event-ready

  • Support post-event reporting, lead handoff, and conference debrief processes

Operational Infrastructure & Cross-Functional Coordination

  • Build and maintain conference playbooks, timelines, inventory tracking, and operational processes

  • Standardize conference booth packages and materials to support scalable event execution

  • Partner with Sales, Marketing, Creative, and Operations teams to coordinate conference execution and materials

  • Create and manage creative briefs while tracking timelines, approvals, and delivery of conference assets

  • Monitor post-event lead follow-up activity and flag gaps in sales engagement

  • Maintain clean and accurate data across event and lead management workflows

Additional Team Support

  • Support webinar logistics, lead queue coverage, incentive fulfillment, and occasional community engagement needs

  • Become fully trained to support conference attendance and onsite execution when needed, independently

  • Other duties as assigned

Success in this role looks like

  • Conferences and events are executed proactively, with deadlines met

  • Conference materials, inventory, and logistics are organized, scalable, and consistently event-ready

  • Cross-functional workflows run smoothly, supporting efficient event execution and post-event follow-up

REQUIREMENTS

  • 2+ years of experience in event coordination, conference support, marketing operations, sales support, project coordination, or related fields

  • Strong organizational and project management skills with exceptional attention to detail

  • Experience coordinating multiple projects and deadlines simultaneously

  • Excellent written and verbal communication skills

  • Ability to collaborate cross-functionally in a fast-paced environment

  • Experience with Google Workspace, Microsoft Office, and CRM systems such as Salesforce is preferred

  • Ability to travel occasionally for conferences and events
