Provide executive administrative support to the CEO and executive team while managing office operations and facilities. Responsibilities include coordinating events and meetings, improving operational processes, overseeing office maintenance and vendor coordination, managing repair budgets, liaising across departments, conducting research and reporting, and handling other assigned duties.
We are seeking an experienced and highly organized Executive Assistant to provide administrative support to our executive team while taking on additional responsibilities related to operations. The ideal candidate will be able to balance the demands of executive assistance with operations duties, ensuring the smooth and efficient functioning of the organization.
Duties and Responsibilities:
- Coordinate and organize company events, conferences, and meetings.
- Streamline and improve operational processes within the organization.
- Oversee and manage office supplies, equipment, and facilities.
- Oversee the general repair and maintenance of office facilities, including electrical, plumbing, HVAC, and general upkeep.
- Coordinate with external vendors and contractors for maintenance and repair services.
- Assist in managing the budget for office repair and maintenance, including cost tracking and financial reporting.
- Coordinate and liaise with various departments to ensure the efficient execution of projects and tasks.
- Acts as a bridge of communication between the executive team and other departments.
- Conduct research and compile data for various projects and reports.
- Perform any other job duties as assigned.
Skills and Qualifications:
- Bachelor’s degree in business administration, management, or a related field.
- Proficiency in office software (e.g., Microsoft Office, Outlook)
- Prior experience as an executive assistant or a similar role.
- Prior experience in office repair, maintenance, or facilities management.
- Exceptional writing skills for correspondence, memos, emails, and manuals.
- Bilingual, Mandarin and English preferred.
