We are seeking a proactive, detail-oriented, and communicative Executive Assistant to support a dynamic CEO managing four early-stage tech startups in the AI and software development space. This is a full-time remote position with flexible hours, though you must be available for some overlap with GMT 10:00–18:00 to coordinate effectively.

As the right hand to the CEO, you’ll play a critical role in keeping the business—and life—running smoothly. You’ll manage calendars, coordinate meetings, streamline communication, and assist with both business and personal tasks in a fast-paced, startup environment.

Key Responsibilities:

  • Manage complex calendars and coordinate meetings across time zones

  • Prioritize and handle email correspondence on behalf of the executive

  • Track and follow up on tasks, deadlines, and deliverables

  • Coordinate internal projects and ensure team members are aligned

  • Facilitate communication between the executive and small startup teams

  • Organize documents and maintain shared files

  • Assist with personal tasks and scheduling (appointments, research, reservations, etc.)

  • Identify opportunities to improve workflows and increase efficiency using AI tools and automation

Key Tools:

  • Google Workspace (Calendar, Gmail, Docs, Sheets)

  • Slack

  • Zoom

  • Project Management Tools such as Jira or Notion

  • AI tools (e.g., ChatGPT)

Requirements:

  • Professional fluency in English (spoken and written)

  • Minimum 2 years of experience as an Executive Assistant, Operations Manager, or similar role

  • Strong organizational and multitasking skills

  • High attention to detail and follow-through

  • Strong written and verbal communication

  • Adaptability to shifting priorities and fast-moving tasks

  • Comfortable working autonomously and handling confidential information with discretion

  • Tech-savvy with a willingness to learn and leverage new tools

  • Experience working in a startup or remote-first environment
